Job Overview:
We are seeking a highly organized and efficient Executive Secretary to provide dedicated support to our CEO. The successful candidate will not only be responsible for traditional secretarial tasks but will also play a crucial role in project monitoring and vetting through agreements. This position requires exceptional communication skills attention to detail and the ability to handle confidential information with discretion.

Key Responsibilities:
Secretarial Support:
  • Manage and coordinate the CEOs schedule appointments and travel arrangements.
  • Prepare and organize meetings ensuring all necessary materials are provided in advance.
  • Handle incoming communication on behalf of the CEO and prioritize accordingly.
Project Monitoring:
  • Collaborate with various departments to collect and consolidate project updates.
  • Monitor project timelines and milestones providing regular reports to the CEO.
  • Identify potential issues and bottlenecks in project execution and propose solutions.
  • Ensure alignment of projects with organizational goals and objectives.
Agreement Vetting:
  • Review contracts agreements and legal documents to ensure compliance with company policies.
  • Liaise with the legal counsel to ensure contractual terms and conditions are favorable (if needed).
  • Provide recommendations and insights on potential risks associated with agreements.
  • Maintain an organized database of all agreements MOU and contracts.
Communication:
  • Act as a liaison between the CEO and internal/external stakeholders.
  • Draft and proofread correspondence reports and presentations.
  • Ensure timely dissemination of information to relevant parties.
Confidentiality:
  • Handle sensitive information with the utmost discretion and confidentiality.
  • Maintain a secure filing system for confidential documents.
Administrative Support:
  • Perform general administrative tasks including document management and filing.
  • Assist in the preparation of reports presentations and other documents
  • Provide support for special projects and initiatives as assigned.


Requirements

  • Bachelors degree in Business Administration Secretarial Studies or related field.
  • Proven experience as an executive secretary or similar role.
  • Strong project management skills with a keen eye for detail.
  • Legal background or experience in contract review is an added advantage.
  • Excellent written and verbal communication skills.
  • Proficient in MS Office.
  • Ability to work independently and handle multiple tasks simultaneously.
