Job Overview
RIST has a key focus on ensuring our students have the skills education and personal development outcomes they require to contribute to their personal growth and the agricultural sector The Compliance Officer supports the effective daily functioning and compliance of RIST in delivering exceptional outcomes to students and other stakeholders To primary function of this role is to oversee the maintenance of RIST corporate governance and quality systems This involves monitoring compliance with quality standards and codes student administration and records management reporting requirements to meet the standards required to meet and maintain ASQA registration and meet the Skills First Contract requirements

Job Description
  • Maintain current knowledge of issues relating to vocational training and provide support to the Operations Manager and Chief Executive Officer to ensure policy and procedure documentation remains up to date and compliant with government and regulatory requirements
  • Maintain an awareness of legislative and regulatory requirements and monitor the risks associated with compliance develop and maintain policy and procedure in line with RTO requirements
  • Keep informed of changes in the VET industry including changing regulatory requirements and changes to endorsed training packages via Australian Qualifications Framework

  • Undertake own professional development activities to continue to develop competence and currency of skills and knowledge and update RIST Training professional development register to provide a true record of professional development activity
  • Oversee ongoing compliance with Skills First Funding Contract including regular monitoring of Skills Victoria Training System (SVTS)
  • Ensure ongoing accuracy and integrity of RTO training data including student management system database ensuring government funding contract requirements are met and regulatory standards upheld
  • Support Operations Manager to meet data reporting requirements for SVTS on a minimum monthly basis and ensure access to all student funding is maximised
  • Coordinate internal audit program and conduct periodic audits on student records to ensure their accuracy and integrity
  • Coordinate validation and moderation schedule and activities
  • Maintain and review of Document Management System implement and monitor compliance with the version control system to ensure documents being used in the delivery of services are the most current and approved version

  • Coordinate fortnightly Quality Committee meetings and distribute minutes
  • Coordinate monthly Staff meetings and distribute minutes
  • Act as secretary for Animal Ethics committee
  • Liaise with Curriculum Developer trainers and training coordinators to coordinate the flow of documentation to ensure student records and operational data is kept accurate and up to date
  • Maintain administrative tools such as training plans pretraining reviews enrolment forms assessor guides student records
  • Maintain the quality register to ensure accurate records of clients program course delivery and course progression are all accurately and professionally documented including readiness for tabling at relevant meetings
  • Maintain and monitor quality systems and processes including audit schedule and continuous improvement process
  • Monitor marketing and communication strategies in order to ensure ongoing compliance with regulatory and legislative requirements
  • Provide regular training to RTO staff and trainers on organisational compliance policy and procedures and regulatory updates
  • Act as RTO Delegate to undertake PreTraining Review interviews with prospective students and conduct Application for Enrolment meetings
  • Liaise with external Compliance Consultant to ensure regulatory and industry compliance requirements continue to be met













Requirements
  • Strong communication and interpersonal skills verbal and written demonstrated ability to communicate effectively with people at all levels both internal and external to the organisation
  • Sound time management and organisational skills ability to plan and organise work set priorities exercise initiative and sound judgment and meet changing and conflicting deadlines
  • Responsibility for delivering quality customer service when dealing with internal and external customers including application of organisation standards initiative and problem solving
  • Professionally manage confidentiality of information across and between participants within the RTO and ensure that all confidential information is protected appropriately
  • Ensure all liaison with stakeholders is sensitively handled respectful and is tracked until resolution ensure relevant records are accurately maintained and up to date
  • Build strong relationships both internally and externally
  • Contribute and work effectively and proactively in autonomous and team situations
  • Contribute to continuous improvement through identifying opportunities for improvement and acting responsively to implement agreed improvements
  • Promoting and ensuring Workplace Health and Safety initiatives
  • Undertake specialist project scoping activities
  • Drive a quality culture throughout the organisation
  • Perform duties in an ethical and professional manner that supports an inclusive environment that is free from discrimination and harassment
  • Establish and maintain strong relationships with stakeholders trainers employers schools group training organisations industry associations apprenticeship support providers and other relevant networks
  • Fulfil other duties as required by management and other department personnel as requested/required
