MIS Solutions a leading Managed IT Service Provider is seeking a skilled and detailoriented Bookkeeper to join our dynamic team. As the backbone of our financial operations the ideal candidate will play a crucial role in maintaining accurate financial records managing transactions and ensuring the overall financial health of our organization.

Responsibilities:

  1. Financial Record Management:
    • Maintain and update financial records ensuring accuracy and compliance with accounting standards.
    • Record daytoday financial transactions including accounts payable and receivable.
  2. Bank Reconciliation:
    • Conduct regular bank reconciliations to ensure consistency between financial records and bank statements.
  3. Expense Tracking:
    • Manage and track company expenses ensuring proper documentation and adherence to budgetary constraints.
    • Utilize Expensify for efficient expense tracking.
  4. Purchase Orders and Sales Orders:
    • Processing purchase orders for vendors orders.
    • Processing sales orders for customer orders.
  5. Invoicing and Accounts Receivables:
    • Generate and issue invoices to clients promptly.
    • Monitor and follow up on accounts receivable to ensure timely payments.
  6. Billing and Accounts Payable:
    • Entering and maintaining vendor and contractor billing.
    • Manage payments to vendors and contractors.
  7. Ordering and Receiving Equipment:
    • Coordinate the ordering process for IT equipment creating Purchase Orders (POs) and working with technology vendors.
    • Physically receive and document incoming equipment maintaining inventory accuracy.
    • Ensure seamless communication and coordination between financial operations and technical teams.
  8. Inventory Tracking:
    • Maintaining accurate vendor and customer billing records to facilitate accurate inventory records.
  9. Reconciling Vendor/Customer Software Licenses:
    • Manage and reconcile software licenses including Microsoft 365 and Azure subscriptions.
    • Ensure compliance with licensing agreements and report any discrepancies.
    • Reconciling client invoices.
  10. Client Onboarding:
    • Work with new clients guiding them through the payment portal during the onboarding process.
    • Provide assistance and support to ensure a smooth transition for clients into our financial systems.
  11. Late Payment Followup:
    • Proactively contact clients for late payments maintaining a professional and courteous approach.
    • Collaborate with the client relations team to address and resolve any paymentrelated issues.
  12. Budgeting Support:
    • Collaborate with management to develop and maintain accurate budgets.
    • Provide insights and support in financial decisionmaking processes.
  13. Financial Reporting:
    • Prepare and present financial reports including profit and loss statements and balance sheets on a regular basis.
    • Provide weekly aging reports to management team.
  14. Payroll Processing:
    • Facilitate accurate and timely payroll processing working with Venture for payroll services and ensuring compliance with relevant regulations.
    • Ensure medical deductions 401K benefits etc. are being reconciled accordingly.
  15. Tax Compliance:
    • Assist in the preparation of tax documents and ensure compliance with tax regulations.
    • Collaborate with external accountants to facilitate smooth tax filing processes.

Requirements:

  1. Education and Experience:
    • Bachelors degree in Accounting Finance or a related field.
    • Proven experience as a Bookkeeper or in a similar role.
  2. Technical Skills:
    • Proficient in QuickBooks and other accounting software.
    • Strong knowledge of generally accepted accounting principles (GAAP).
    • Strong Microsoft skills.
  3. Additional Skill (Would Be Nice to Have):
    • Experience with Expensify for expense tracking.
    • Familiarity with ordering and receiving IT equipment.
    • Proficiency in reconciling software licenses.
  4. Attention to Detail:
    • Exceptional attention to detail and accuracy in financial recordkeeping.
  5. Communication Skills:
    • Effective communication skills both written and verbal.
  6. Team Player:
    • Ability to collaborate with crossfunctional teams and contribute to a positive work environment.
