IT DF Team and Project Office Assistant
Job Title: IT DF Administrative Business Partner
Specific Requirements:
Primary responsibility will be to assist the Siemens IT Digital Foundation Leadership Team and IT Teams / Value Centers with their ongoing administrative and project needs
The successful candidate will be part of a Global Team consisting of over 7-Global IT / Value Center that are collectively responsible for over 200M in IT Service Volume / Projects per annum. This person must demonstrate enthusiasm and commitment and conduct business with respect to others. They will assist with project office, and aministative responsibilies within a IT Project and IT Service Teams at a Management Level to ensure Teams are most efficient and effective.
Tasks:
Purchasing, place orders (e.g. via OneSRM, myMall, and other warehouse & inventory management tools) and ensure appropriate allocation to cost centers
Calendar and meeting management, e.g. organize and schedule appointments, plan meetings and take detailed meeting protocol of key actionable deliverables for IT DF Leadership Team
Operational event management (location, reservations & catering) globally
Travel management, e.g. book travel arrangements & submit and reconcile expense reports for IT DF Leadership Team
Assist in the preparation of regularly scheduled reports; project status reports in project reporting tools, e.g. ServiceNow / IT Business Management
Develop and maintain relationships with key team members in their needs to be fully efficient and effective
Update and maintain office policies and procedures
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
Act as the point of contact for internal and external Partners
Provide general support to visitors
Office & Facility Management (mail acceptance, management of access authorizations, ...)
Knowledge and Experience:
2 years experience in a IT Environment / IT Project environment providing administrative support
Proficiency with working with Microsoft Office 365 suite, e.g. Word, Excel, Power Point, etc.
International experience a plus and or willingness to work with colleagues in various time zones
Tableau Software / reporting capabilities
Ability to handle and prioritize multiple tasks simultaneously
Strong customer service, interpersonal skills with a positive attitude & self-motivated
Good analytical and decision-making skills
Ability to communicate effectively both orally and in writing
Strong organizational skills; attention to detail
Flexibility to work the assigned schedule as business needs require
Ability to lead and coordinate global program / project meetings, document meeting minutes and keep attendees within allotted time schedule
Hybrid role; mix of virtual and in-office requirement
