Job Summary:
We are seeking a highly motivated and professional Executive Administration Assistant to the CEO to join our dynamic and growing team. In this role, you will be responsible for providing high-level administrative support to our CEO and the HR team, managing confidential information, and working collaboratively to ensure the smooth operation of our organization.
Responsibilities:
- Manage the CEOs calendar, including scheduling appointments, organizing meetings, and coordinating travel arrangements.
- Assist with the preparation of reports, presentations, and other documents as needed.
- Manage and maintain confidential files and records, including financial documents and contracts.
- Conduct research and gather information to support decision-making and strategic planning.
- Provide administrative support to the executive team, including managing schedules, coordinating meetings, and responding to requests.
- Prepare and distribute correspondence, memos, and other communications on behalf of the CEO and executive team.
- Liaise with internal and external stakeholders, including board members, investors, and partners.
- Handle general office tasks, such as answering phones, responding to emails, and managing office supplies and equipment.
- Perform other duties as assigned.
Requirements
- Bachelors degree in business administration, communications, or a related field.
- 1-5 years of experience in an executive or administrative support role, preferably in a fast-paced, high-growth environment.
- Excellent organizational and time-management skills, with the ability to manage multiple projects and priorities simultaneously.
- Strong written and verbal communication skills, with a keen attention to detail.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides).
- Ability to handle confidential information with discretion and professionalism.
- Strong problem-solving skills and the ability to work independently and as part of a team.
