Eligibility Criteria:
The candidate must meet the criteria below to qualify for roles funded by Canada Summer Jobs.
- The candidate must be between the ages of 15 and 30 at the beginning of the employment period.
- The candidate must be a Canadian citizen permanent resident or person who has been granted refugee status in Canada
- The candidate must have a valid Social Insurance Number at the start of employment.

Who We Are:
Heritage Park is Canadas largest living history museum and offers visitors a chance to experience life in Western Canada from the 1860s to the early 1950s. The Park features historical buildings costumed interpreters working antiques and various exhibits that provide insight into the regions past.
Job Overview:
The Volunteer Program Assistant provides administrative communication and engagement support to the Volunteer Engagement department. This role assists with maintaining volunteer records supporting onboarding and orientation communicating with volunteers and helping volunteers feel welcomed informed and connected. This position may be required to support volunteer engagement during events and to occasionally support costumed guest-facing volunteer roles such as Ambassador or Tour Guide.
Responsibilities:
Program Administration
- Maintains and updates volunteer accounts and database
- Oversees volunteer onboarding requirements including follow up regarding overdue items
- Updates program materials as directed including position descriptions manuals orientation materials and volunteer resources
- Provides assistance to volunteers with Better Impact and other online functions
- Maintains the volunteer centre and volunteer equipment
- Supports the planning and delivery of volunteer orientation through co-facilitation and delivery of orientation information answering questions and creating a welcoming and positive first impression for new volunteers
Volunteer Engagement
- Responds to volunteer inquiries in a timely manner providing clarity and information about volunteer shifts schedules hours and basic volunteer processes
- Provides friendly on-site support to volunteers by checking in at volunteer locations spending time with Volunteer Ambassadors answering basic questions and escalating concerns to Volunteer Engagement staff as needed
- Supports volunteers during select special events which may include assisting with check-in providing basic shift information helping volunteers navigate the event checking in with volunteers during their shifts and escalating questions or concerns as needed.
- Learns key volunteer-facing roles which may include Ambassador or Tour Guide responsibilities and may support occasional guest-facing shifts in costume after appropriate training
- Attends volunteer committee meetings and training or orientation sessions and takes notes or minutes as needed
- Perform other duties as assigned
Required Qualifications:
- Must meet the Canada Summer Jobs eligibility criteria
- Post-secondary courses in Business Administration Office Administration Volunteer Management Tourism Hospitality Human Resources Communications or a related field is considered an asset
- Strong skills with computer applications including Better Impact or similar volunteer database program; proficient in Microsoft Office Suite is preferred
- Experience in an administrative role is considered an asset
- Previous experience in a guest-facing or volunteer engagement role is considered an asset
- Must have strong interpersonal and communication skills and be comfortable speaking with volunteers staff and guests in a friendly and professional manner
- Able to build rapport and provide clear and patient support to a variety of individuals knowing when to escalate questions or concerns
- Strong attention to detail and ability to follow established processes
- Ability to manage confidential information with discretion
- Interest in volunteer engagement museums community programming or guest experience is considered an asset
- High level of integrity and trustworthiness in handling confidential organizational information
- Commitment to continuous learning and development
- All successful candidates who are over the age of 18 are required to complete a background check. Employment at Heritage Park is contingent upon receipt of a satisfactory report prior to their contract start date.
Special Clothing and Equipment:
- Appropriate costuming and safety equipment will be provided by Heritage Park; and
- Footwear as designated by the Heritage Park Costume Department will be provided by the employee.
Special Working Conditions:
- While much of the work will take place in an office environment a significant part of the role requires working outdoors and potential exposure to weather extremes; and
- This position is physically demanding and the incumbent must have the ability to lift heavy items stand for long periods of time and walk throughout the Park for extended periods.
