Job Title: Administrative Assistant Intermediate
Location: Edmonton AB (Onsite 5 Days/Week)
Duration: 5-Month Contract
Job Overview:
We are seeking an experienced Administrative Assistant to support a fast-paced team within a modernization information management and technology-focused environment. This role provides day-to-day administrative financial and coordination support to managers and staff ensuring smooth operational efficiency.
Key Responsibilities:
- Provide administrative support to managers and team members
- Create format and maintain documents reports and spreadsheets
- Manage invoices expense tracking and basic financial processes
- Coordinate meetings events and logistics (room bookings scheduling etc.)
- Maintain and organize digital and physical records
- Prepare professional documents memos and briefing materials
- Support meeting coordination including agenda preparation minute-taking and follow-ups
- Ensure accuracy and quality of all documentation prior to finalization
- Assist with ad hoc administrative and coordination tasks
Required Qualifications:
- Strong proficiency in Microsoft Word and Excel (formatting tracking document creation)
- Experience handling invoices expenses and financial processes
- Proven experience coordinating meetings and logistics
- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
- Ability to work independently and manage multiple priorities
- Experience with records management (digital and physical)
- High attention to detail and accuracy
Preferred Qualifications:
- Experience working in a public sector or government environment
- Familiarity with financial or administrative systems (expense or invoice tools)
- Experience preparing professional documents and briefing materials
- Strong meeting support experience (agendas minutes follow-ups)
- Experience working in technical analytical or data-driven teams
- Ability to anticipate needs and proactively support leadership
Work Schedule:
- Monday to Friday (excluding public holidays)
- Standard hours: 08:15 AM 4:30 PM (Alberta Time)
- Fully onsite role (5 days/week)
