Job Summary

Qualifications:

  • High school diploma or equivalent.
  • Health and Inoculation Certificate on file in the central office (after employment offer is made).
  • Three years experience as a secretary.
  • Experience in using various computers and computer programs including word processing database spreadsheet and desktop publications. Knowledge of various office machines and telecommunications equipment.
  • Ability to compose letters and presentation materials.
  • Desire to continue career improvement by enhancing skills and job performance.

Purpose and Objectives of the Position:

The administrative assistant coordinates office and clerical support to assist with the efficient operation of instructional and support services. To accomplish these tasks this position works closely with the staff and administration of the district.

Essential Functions:

  • Ability to coordinate office and clerical support to assist with the efficient operation of administration
  • Ability to ensure all activities conform to district guidelines.
  • Ability to communicate and work effectively and cooperatively with members of the school district and community.
  • Ability to react to change and frequent interruptions in a productive and positive manner meeting deadlines as assigned.
  • Ability to operate all equipment appropriately as required.
  • Ability to work to implement the vision and mission of the district.

Physical Requirements/Environmental Conditions:

  • Requires prolonged sitting or standing and use of equipment including repetitive motions and computer eye fatigue.
  • Requires physical exertion to manually move lift carry pull or push heavy objects or materials.
  • Must occasionally work in noisy and crowded environments with numerous interruptions.

General Responsibilities:

  • Ability to process incoming correspondence and compose correspondence as necessary.
  • Ability to screen to respond to and/or to direct incoming calls recording messages for the Executive Director of Instructional Services and Director of Support Services and other staff associated with the Board of Education office.
  • Ability to obtain gather and organize pertinent data putting it into functional form.
  • Ability to enter maintain and extract data from various databases and creating communications from source data to support responsibilities in the areas of Instructional and Support Services.
  • Ability to maintain a regular filing system including confidential information.
  • Ability to manage projects and report status updates including the maintenance and communication of daily weekly and monthly task requirements associated with instructional and support services.
  • Ability to maintain calendars scheduling confirming appointments and meeting requests as requested.
  • Ability to make travel lodging and registration arrangements for thebuilding administration and for any staff attending workshops conferences and seminars.
  • Ability to greet and screen visitors making arrangements for comfort while visitors await scheduled meetings or direct them to the appropriate location/administrator to accommodate their needs.
  • Ability to support general accounting responsibilities and finance policies in the area of budget including the preparation submission organization and maintenance of records for various funding accounts.
  • Ability to prepare and organize meeting materials (i.e. agenda minutes invitations correspondence) for various building and departmental meetings.
  • Ability to communicate and distribute policies and procedures that relate to Instructional and Support Services.
  • Ability to research compile and assist with the identification collection and submission of information as required by district state and federal reports.
  • Ability to respond to information requests in a cooperative courteous and timely manner.
  • Ability to observe and follow all school district policies at all times. Implement and follow all district health and safety policies including all precautions of the Bloodborne Pathogens Exposure Control Plan.
  • Ability to perform other tasks and assume other responsibilities as directed by the Executive Director of Instructional Services and Director of Support Services.

Pre-Employment/Yearly Requirements:Employee shall meet all the pre-employment and yearly requirements as specified in the Policies of the Board of Education.

Term of Employment: At will.

Salary:$15.25/hour with increases for experience and education

FLSA Status:Non-Exempt; Hourly

Evaluation:Performance effectiveness will be evaluated in accordance with provisions of Board of Education Policy.
