About the Position Were hiring an Administrative Assistant who brings organization reliability and a friendly professional presence to our team.

In this role youll support our Estate Planning (EP) and Estate Administration (EAD) teams by handling core administrative scheduling documentation and frontoffice tasks that help matters move forward smoothly and predictably. This is an administrative support position focused on coordination communication support and consistent followthrough that helps the firm operate smoothly and effectively.

The position includes shared phone and front desk coverage as part of a teambased approach to client communication with the goal that callers are able to always reach a live person during business hours. This role does not involve legal drafting or legal judgment.

The Administrative Assistant reports to the Firm Administrator and works closely with members of the EP and EAD teams.

What Youll Do

  • Schedule and confirm client meetings (inperson virtual and phone)
  • Prepare organize scan and maintain physical and digital client files
  • Assemble meeting materials execution packets and estate planning binders
  • Draft routine correspondence using firm templates and direction
  • Enter and maintain basic matter information in the firms practice management system
  • Support matter opening and closing tasks and basic billing followup
  • Answer incoming phone calls greet clients and visitors and route communications professionally
  • Participate in shared phone coverage so callers can reach a live person whenever possible
  • Prepare and distribute outgoing mail and route incoming mail and documents
  • Assist with conference room readiness office supplies and general administrative support as needed

  • Youre organized detailoriented and dependable
  • You enjoy keeping things running smoothly behind the scenes
  • Youre comfortable supporting multiple people and managing recurring tasks
  • You communicate professionally and warmly-in writing on the phone and in person
  • Youre able to prioritize work follow established processes and work independently
  • You understand the importance of handling sensitive information with discretion

What Were Looking For

  • Prior administrative or office support experience preferred
  • Experience supporting multiple team members a plus
  • Proficiency with Microsoft Office and Adobe Acrobat
  • Experience with scheduling CRM or practice management systems a plus
  • Comfortable learning new systems and workflows in a professional services environment

Work Type & Physical Requirements

  • Primarily inoffice with opportunity for occasional remote flexibility per policy
  • Prolonged periods of computerbased and phonebased work
  • Ability to lift up to 15 pounds occasionally
