Job Summary

We are seeking a highly organized proactive and detail-oriented Administrative Assistant to support our real estate team. The ideal candidate will manage office operations assist agents with administrative tasks coordinate client communications and help ensure smooth business operations.

Responsibilities:

  • Manage the daily operations of the office including answering phones responding to emails and greeting clients.
  • Maintain organized records of properties client files contracts and leases.
  • Assist real estate agents with scheduling property showings open houses and client meetings.
  • Prepare and format real estate documents contracts presentations and reports.
  • Coordinate with vendors service providers and contractors as needed.
  • Manage office supplies and inventory.
  • Support marketing initiatives including social media updates property listings and email campaigns.
  • Assist with bookkeeping invoicing and expense tracking.
  • Ensure compliance with company policies real estate regulations and documentation standards.
  • Perform other administrative tasks and ad-hoc projects as required.

Qualifications & Skills:

  • High school diploma required.
  • Proven experience as an administrative assistant preferably in real estate or related industries.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and real estate software (e.g. MLS CRM tools).
  • Excellent organizational time-management and multitasking abilities.
  • Strong written and verbal communication skills.
  • Attention to detail and accuracy in documentation.
  • Ability to handle confidential information with discretion.
