Job Title: Assistant Tendering & Procurement Manager FF&E
Job Summary:
The Assistant Tendering & Procurement Manager FF&E will support tendering estimation and procurement activities for furniture fixtures and equipment projects. This role focuses on preparing accurate cost estimates coordinating with suppliers and ensuring timely sourcing of materials. The role supports efficient bid submissions and smooth procurement execution.
Key Responsibilities:
- Tendering Support
• Assist in the full tendering cycle from inquiry to submission.
• Review RFQs BOQs drawings and specifications.
• Prepare quantity take offs and support pricing preparation. - Cost Estimation
• Assist in preparing detailed cost estimates for FF&E packages.
• Collect and analyze supplier quotations.
• Maintain updated cost databases and pricing records. - Procurement Coordination
• Support procurement planning for FF&E items.
• Coordinate with suppliers for quotations samples and lead times.
• Follow up on purchase orders and delivery schedules. - Contract Administration Support
• Assist in reviewing contracts purchase orders and agreements.
• Track contract deliverables obligations and key milestones.
• Support documentation for variations claims and approvals.
• Maintain organized contract records and correspondence. - Supplier & Vendor Coordination
• Identify and pre qualify suppliers and manufacturers.
• Maintain supplier database with updated information.
• Support negotiations under the guidance of the manager. - Technical & Commercial Documentation
• Prepare technical submittals compliance sheets and material submissions.
• Ensure all documentation meets client requirements.
• Assist in compiling complete tender submissions. - Project Coordination
• Coordinate with design estimation and project teams.
• Support material approvals and procurement tracking.
• Assist in resolving issues related to materials and suppliers. - Reporting & Records
• Maintain records of tenders quotations and procurement activities.
• Track procurement status and report delays or risks.
• Support cost tracking and budget monitoring.
Key Performance Indicators (KPIs):
• Timely support for tender submissions
• Accuracy of quantity take offs and data
• Supplier response and coordination efficiency
• On time procurement follow up
• Documentation quality and completeness
Qualifications & Experience:
Education:
• Bachelor’s degree in Interior Design Architecture Engineering or related field
Experience:
• 7 to 12 years in FF&E tendering estimation or procurement
• Experience in furniture and interior fit out projects
• Exposure to supplier coordination and procurement processes
Skills & Competencies:
• Basic cost estimation and commercial understanding
• Knowledge of FF&E materials and suppliers
• Good coordination and follow up skills
• Attention to detail and accuracy
• Time management and organization
• Good communication skills
• Fluent in English Arabic is an advantage
