RESPONSIBLE TO: ASSISTANT SUPERINTENDENT/SUPERINTENDENT/DIRECTOR OF HUMAN RESOURCES
JOB GOAL: To assure the smooth operation of the District Office so the maximum positive impact on the education of children can be realized.
QUALIFICATIONS:
High school diploma or general education degree (GED)
One to two years related experience preferred
Successful completion of a test of basic secretarial skills
Ability to operate general office equipment including but not limited to phones faxes copiers and computer equipment
Extreme confidentiality due to the sensitive nature of the position (e.g. personnel issues and finances family personal and financial matters)
Dependable
Detail oriented
Demonstrated strong organizational and problem solving skills
Demonstrated effective time management skills
Demonstrated ability to work effectively with others
Self-motivated with the ability to work with little direction
Required to lift carry push and pull various supplies and/or equipment up to a maximum of 50 pounds
Demonstrated proficiency in written and oral communication skills as well as active listening skills
Such alternatives to the above qualifications as the Superintendent and/or Board Of Education may find appropriate
PERFORMANCE RESPONSIBILITIES:
Receive and route all incoming calls meet and assist staff/visitors both in a professional and friendly manner.
Support the District Registrar with new enrollments for all school buildings in an effective and efficient manner including the verification of all paperwork.
Assist with the collection of sensitive materials relating to employment.
Maintain confidentiality of correspondence communications conversations and student/staff information.
Professionally handle District Office correspondence and communication. This includes the ability to effectively use the Microsoft Office Suite and Google Docs to write letters build spreadsheets design a PowerPoint and complete other forms of written communication.
Demonstrate knowledge of or the ability to learn computer programs to support the district.
Interact with district families in a professional manner by using best practices in customer service and support.
Remain solutions-oriented when answering calls and attending to visitors.
File collate and copy materials for District Office purposes and record keeping. Assist staff in proper operation when necessary.
Support student and staff interns and cross-trained staff as they support the enrollment process.
Manage daily and seasonal workloads in an efficient manner in compliance with established policies or procedures with limited assistance from the supervisor/superintendents office.
Assist administration in emergency situations as needed and maintain essential confidentiality.
Attend all meetings and in-services that affect the District Office secretary as approved by the superintendent or supervisor.
Maintain the district FOB system in collaboration with the IT department.
Assist the HR Department and other departments with technical work such as fingerprinting contract management calendar management and other duties as assigned.
Perform other such duties as may be directed by the superintendent or supervisor.
