We are seeking a highly detail-oriented Compliance & Administrative Coordinator to support our operations team by reviewing job documentation organizing digital files assisting customers and helping ensure projects meet insurance carrier and program compliance standards.
This is not a basic receptionist position.
This role is ideal for someone who:

What Youll Do
This position plays a critical role in helping our projects move efficiently from emergency response through billing and completion.
Responsibilities include:
  • Reviewing technician and field documentation for completeness and accuracy
  • Preparing digital job files to meet insurance carrier and program compliance requirements
  • Identifying missing information inconsistencies or documentation gaps
  • Coordinating internally with operations estimators project managers accounting and subcontractors
  • Entering and maintaining accurate customer and job information
  • Answering incoming calls and assisting customers professionally and compassionately
  • Managing multiple priorities while handling interruptions throughout the day
  • Tracking job progress and following up on outstanding items
  • Supporting billing and administrative workflows
  • Assisting with office organization and daily administrative operations

Qualifications
  • 2 years of administrative office coordination or customer service experience
  • Strong organizational and computer skills
  • Ability to work in a fast-paced environment
  • Excellent verbal and written communication skills
  • Experience handling detailed documentation and data entry
  • Ability to work independently while supporting a team environment
Preferred (But Not Required)
  • Experience in restoration construction insurance or property claims
  • Familiarity with Xactimate Symbility or insurance-related software
  • Experience managing digital files and compliance documentation
