JOB SUMMARY
Reporting to the Human Resources Services Manager the HR Services Administrator provides administrative support in all functional areas of HR with an emphasis on post-offer recruitment activities and HRIS administration. The HR Services Administrator supports AMS operations by creating and maintaining employee records throughout the entire employee lifecycle in the HRIS and serves as the first point of contact for HR related queries.
PRIMARY DUTIES & RESPONSIBILITIES
- Ensure seamless post-offer recruitment from onboarding to deployment
- Own AMS Onboarding program ensuring they feel welcome and supported throughout the onboarding process
- Collect upload and track all necessary documentation pre-employment verifications background checks etc.
- Coordinate and communicate with payroll education travel and operations managers to ensure seamless integrations and deployment of all new hires.
HR and HRIS Administration
- Create and maintain employee records in UKG
- Electronically file and update employee licensures and certifications
- Regularly audit HR data housed in the HRIS and process improvements to increase the productivity of HR users
- Maintain and update background processes within the HRIS
- Configure HRIS to collect required data
- Identify areas of improvement in the utilization of HRIS
- Maintain up-to-date policies ensure mandatory policies are signed and tracked and all general policies are available to all employees throughout AMS
- Administer all AMS group benefits programs including enrollments and terminations
- Administer the WSCC disability management program completing employer disability claims and administering return to work programs
Supporting AMS Operations throughout the employee lifecycle
- Process ECFs in a timely manner ensuring employee data reflects the most accurate data in real time regarding status changes transfers and terminations
- Alert employees and managers when an employee is missing files or when mandatory certifications are expired/expiring
- Establish and maintain strong service-oriented relationships with AMS management and staff referring queries to appropriate stakeholders as needed
- Ad hoc HR projects as requested.
QUALIFICATIONS
The following are the recommended qualifications required to successfully perform the role of the Human Resources Services Administrator:
- Minimum of 1 year of experience in HR or administration
- Degree or diploma in Human Resources or a related field
- CPHR designation or a CPHR candidate is an asset
- High attention to detail
- Intermediate MS Office 365 specifically Outlook Excel and Word
- Comfortable giving presentations
- Clear communication both written and oral
- Ability to practice discretion while working with sensitive and private information
- Customer service is an asset
- Comfortable with change and able to adapt to changing priorities
