The Enrollment Coordinator at Guilford Preparatory Academy (GPA) is responsible for driving student enrollment growth through strategic outreach marketing and family engagement. This role leads GPAsProject Returns (student re-enrollment initiative)while also building a strong pipeline of new students through community partnerships targeted recruitment efforts and consistent follow-up with prospective families.
The Enrollment Coordinator plays a critical role in ensuring GPA meets and exceeds enrollment targets by actively engaging families from initial inquiry through full enrollment completion.
Key Responsibilities
Project Returns & Retention (Re-Enrollment Focus)
Lead and manage GPAsReturning studentscampaign to secure re-enrollment commitments from current families
Develop and execute outreach plans to follow up with families who have not completed re-enrollment
Personally contact (phone email text in-person) families who have indicated they arenot returningto understand concerns and attempt to retain students
Track and report re-enrollment status by grade level and identify trends impacting retention
Collaborate with school leadership to address barriers to re-enrollment and improve family satisfaction
Lottery & New Student Follow-Up
Manage follow-up with families who have beenaccepted through the lottery but have not completed registration
Create and execute urgency-based communication plans to ensure all required enrollment documents are submitted
Maintain consistent communication with waitlisted families to fill open seats quickly
Track incomplete applications and proactively resolve barriers preventing enrollment completion
Ensure all enrollment slots are maximized and backfilled efficiently
Student Recruitment & Community Outreach
Develop and implement a year-round student recruitment strategy aligned with GPAs enrollment goals
Build partnerships with local daycaresHead Start programs preschools and community organizations
Conduct regular visits to community sites to promote GPA and establish referral pipelines
Represent GPA at community events school fairs and recruitment expos
Coordinate and lead school tours open houses and family information sessions
Family Engagement & Customer Service
Provide high-level customer service to all prospective and current families
Build trusting relationships with families to encourage enrollment and retention
Support onboarding efforts to ensure new families transition smoothly into GPA
Communicate clearly regarding deadlines requirements and next ste
Marketing & Enrollment Campaigns
Collaborate with leadership to execute targeted marketing campaigns to increase brand awareness and enrollment
Support social media outreach digital campaigns and grassroots marketing efforts
Assist in the development and distribution of marketing materials (flyers brochures banners etc.)
Ensure consistent messaging that reflects GPAs academic programs culture and value to families
Enrollment Process Management
Serve as the primary point of contact for prospective families from inquiry through enrollment
Guide families through application lottery and registration processes
Maintain accurate and up-to-date enrollment records and tracking systems
Monitor enrollment numbers daily and adjust strategies to meet targets
Data Tracking & Reporting
Track enrollment pipeline data including inquiries applications re-enrollments and completed registrations
Provide weekly enrollment reports to leadership including:
Project Returns status
Lottery conversion rates
Outreach and recruitment activity
Analyze trends and recommend strategies to improve enrollment outcomes
Qualifications
Preferred bachelors degree in marketing Communications Education Business or related field (preferred)
2 years of experience in recruitment enrollment management marketing or sales
Strong relationship-building and communication skills
Highly organized with the ability to manage multiple priorities
Experience working with diverse communities and families
Proficiency in Microsoft Office and digital communication platforms
Valid drivers license and willingness to travel locally for outreach
