Summary of the Job:

The Administrative Assistant is responsible for a wide variety of front office clerical administrative personnel and office duties. This position is also responsible for timely processing and organization of customer invoicing. The Administrative Assistant takes direction from the Management Team based upon assigned duties.

Duties and responsibilities

  • Set up new clients and assist with payment collection and account maintenance.
  • Manage timely and accurate processing and distribution of customer invoices.
  • Respond to customers vendors and internal inquiries in a professional and timely manner.
  • Perform contract reviews for projects to ensure compliance as directed by managers.
  • Support Accounts Receivable with follow-up on outstanding balances and debt collections activities for assigned group.
  • Assist with the on-boarding process for new employees.
  • Perform other assigned administrative duties as directed by management


Qualifications

Required Education/Experience:

  • High School diploma or equivalent

  • Additional college or technical school training certificate or degree preferred.

  • Minimum of 1 year administrative or office experience preferred

Necessary Skills:

Strong verbal and written communication skills.

  • Excellent organizational and time-management abilities.

  • Proficiency with Microsoft Windows and Microsoft Office (Excel Word and PowerPoint).

  • Strong interpersonal skills with the ability to work independently and as a part of a team.

  • Attention to detail and ability to manage multiple priorities.

  • Customer Service or billing experience a nice to have.

  • Primarily office-based with occasional work in a laboratory environment.

  • Ability to sit stand and walk for extended periods.

  • Occasional use of hands and arms for handling reaching and operating office equipment.

  • Occasional lifting of items up to 2555 pounds (as required by business needs).

  • Vision requirements include close vision distance vision color vision peripheral vision and depth perception.
