Job Summary

Ed Staub & Sons Petroleum is looking for a hard working self motivated detail oriented individual to supervise our Bill of Lading (BOL) department.

There are three primary goals for theBOL team and the BOL Manager will be responsible for making sure these goals are met:

  1. Account for all fuel loads daily

  2. Accurate and timely billing of all fuel loads

  3. Provide top notch customer service

  • Ability to manage multiple priorities and meet daily deadlines

Essential Duties and Responsibilities:

The essential duties of this position may include but are not limited to the following:

  • Accurate processing and timely billing of fuel loads.

  • Setup wholesale zones wholesale trucks and establish freight rates for new delivery locations in Cargas.

  • Monitor and review matching of fuel supplier invoices to BOLs in Cargas for accurate costs and timely processing.

  • Monitor paperwork and initiate requests for missing documents (BOL paperwork vendor invoices credits rebills)

  • Monitor vendor pricing discrepancies and alert DTN managers of any issues or needs.

  • Maintain a solid understanding of the DashFuel EDT Dispatch software. Understand the flow of work and be able to identify & resolve errors efficiently

  • Train and enforce BOL processes

  • Be a liaison between Eds Trucking Dispatch and BOL

  • Communicate with Inventory Fuel Rec team to resolve inventory issues related to BOL deliveries

  • Work with Fuel Tax Manager regarding setups of new fuel vendors new products and new tax details (for accurate Cargas setups and tax reporting).

  • Communicate with Accounts Payable to resolve missing or incorrect vendor invoices as well as assist in reconciliation of Fuel Suspense GL account.

  • Research and resolve BOL related transaction errors (wholesale tickets inventory receipts vendor invoice postings etc).

  • Review and Post Wholesale documents in Cargas.

  • Develop and streamline electronic communications with fuel vendors (ie: fax e-mail etc.)

  • Maintain paperless storage of BOL Documents

Success in This Role Looks Like:

  • Daily load accountability with minimal discrepancies

  • Timely and accurate billing with reduced corrections/rebills

  • Improved process efficiency and reduced manual work

  • Strong team engagement and low error rates

  • Execute oversee and ensure accurate an on-time monthly close deadline

Supervisory Responsibilities:

This is a supervisory position with duties that include but are not limited to:

  • Job Descriptions and Expectations

  • Weekly team meetings and follow-up

  • Individual meetings get to know your team

  • Annual Reviews quarterly reviews and Evaluations
