Job Summary

Event Productions is a full-service event production organization capable of hosting multi-track seminars conferences banquets expos large-scale trainings concerts and more for groups of 1500. From superior audiovisual solutions event planning and logistics multimedia and content production to livestreaming and audience engagement tools we offer complete production solutions to cater to all types of events.

The Production Coordinator provides customer-centric intake management calendar organizational reporting and administrative support to the Event Productions team. The primary focus is intake management and calendar logistics for customer events. A successful candidate will step seamlessly into a corporate office environment demonstrating strong organizational skills impeccable customer service attitude and be energetically driven to serve our customers and the team.

Responsibilities include:
- Daily customer communication support and management
- Scheduling of booking requests and ongoing meetings management
- Maintaining multiple event operations calendars
- Managing meetings effectively; providing supporting documentation and aligning stakeholders
- Improving efficiencies and working to optimize processes
- Coordinating project-related data and reporting
- Working on defined projects with straightforward goals
- Identifying blockers and facilitating progress
- Coordinating with vendors and external agencies
- Conducting site visits for event setup
- Guiding customers on event setup requirements
- Creating and maintaining SOPs
- Budgeting for customer events
- Coordinates between all stakeholders to set up an offsite or onsite event
- Identifying and initiating projects for process improvements and operational efficiency


Key job responsibilities
- Manage event support request intake through the SIM tool
- Provide daily customer communication support and management
- Schedule and coordinate booking requests and meetings
- Maintain multiple event operations calendars
- Manage meetings effectively by providing supporting documentation and aligning stakeholders
- Identify efficiencies and work to optimize processes
- Coordinate project-related data and reporting
- Execute defined projects with straightforward goals
- Identify blockers and facilitate progress to keep projects on track
- Coordinate with vendors and external agencies
- Conduct site visits for event setup and logistics
- Guide customers on event setup requirements and best practices
- Create and maintain Standard Operating Procedures (SOPs)
- Manage budgeting for customer events
- Coordinate between all stakeholders to set up offsite and onsite events
- Identify and initiate projects for process improvements and operational efficiency

A day in the life
Youll manage the SIM intake queue triaging new event support requests responding to customer inquiries and prioritizing based on upcoming event timelines. Youll keep multiple event operations calendars updated confirm bookings and flag scheduling conflicts before they become problems.

A significant part of your day involves working directly with internal customers business teams planning large-scale all-hands meetings leadership offsites or company-wide conferences. Youll walk them through event setup requirements available production capabilities and logistics timelines while documenting action items and aligning all stakeholders.

- External Partners: Vendors venues agencies and contractors supporting event execution
- Stakeholders: Program managers executive assistants finance teams and facilities coordinators

- Bachelors degree or equivalent
- Work a flexible schedule/shift/work area including weekends nights and/or holidays
- 4 years of organizing events for content creators (e.g. education summits booths at events) experience
- 5 years of project/program management experience
- Knowledge of video production crews live streaming technologies studio workflows edit and post- production techniques production calendars and staffing
- Knowledge of current event production technology and best practices
- Experience in livestream
- Experience in written and verbal communication skills to communicate with technical and non-technical audiences including senior leadership
- Experience managing multiple projects and priorities across teams in a fast-paced deadline-driven environment
- Demonstrated calendar management experience

- Experience in requirement gathering and ability to write clear and detailed requirement document
- Experience with material handling systems (MHS) installation operation and maintenance
- Experience working in an analytical environment with cross-functional teams
- Knowledge of Microsoft Office applications including Word and Excel
- Experience prioritizing and handling multiple assignments at any given time while maintaining commitment to deadlines
- Knowledge of data analytics with tools such as Tableau SQL Quick-sight
- Proficiency in project management tools (e.g. Asana Smartsheet Jira Microsoft Project)
- Understanding of event technical infrastructure and set up.
- 3 years of experience in a corporate environment.
- Working knowledge of collaboration platforms (e.g. Slack Chime Teams Zoom)
