Overview
Proactive strategic and detail-oriented trusted partner to the Chief Financial Officer (CFO) serving as Chief of Staff while also providing support to the Chief Executive Officer (CEO) and 4 Executive Leadership Team (ELT) members in the Wilmington office. This role is an extension of the CFO and helps drive coordination and execution across the Finance division including investor relations administration Board interactions and materials preparation and initiatives that elevate team performance and cultural engagement.

Key Responsibilities
- Serves as an extension of the CFO by managing and optimizing time focus and decision-making; ensuring preparation follow-ups and accountability for key meetings and initiatives; and helping the Finance division operate with maximum coordination and effectiveness.
- Coordinates investor relations activities including inbound inquiries meeting logistics earnings call preparation and administration and maintaining an accurate investor meeting database.
- Administers Board and committee materials including managing distribution through Diligent coordinating responses to Board member inquiries and supporting quarterly compensation letter distribution.
- Manages creation and distribution of stock award agreements.
- Drafts proofreads and finalizes internal and external correspondence and memos for assigned executives; independently prepare standard responses; ensures accuracy tone and timely delivery in alignment with service level expectations.
- Provides comprehensive executive support by managing complex calendars and communications; screening and routing calls and messages; coordinating travel with realtime issue resolution; preparing schedules and meeting logistics across time zones; handling vendor and external outreach; ensuring unwanted contacts are redirected; organizing itineraries expenses and reimbursements. May accompany executives on local site visits to provide hands-on support as needed.
- Supports planning and execution of meetings events and receptions including venue recommendations room setup menus/catering attendee logistics and ensuring required materials and technical access are in place. Travels onsite as needed to address issues in real time.
- Builds and maintains strong working relationships with senior leaders peers and key partners to coordinate deliverables relay information and requests and drive timely issue resolution and status updates.
- Coordinates sensitive reports analyses and presentations for executive review (e.g. budgets business).
- Performs other duties as assigned.
Qualification Requirements
- Bachelors degree preferred (or an equivalent combination of education training and experience).
- 7 years of Executive Assistant and/or Chief of Staff experience supporting senior executives.
- Strong working knowledge of organizational structure business operations and cross-functional ways of working.
- Excellent verbal written and interpersonal communication skills.
- Excellent organizational and time management skills.
- Collaborative team player able to work effectively in a fast-paced multi-tasking environment.
- Proficient in Microsoft Office suite e.g. Excel PowerPoint Word Outlook.
- Position regularly handles confidential and highly sensitive business information. Discretion is essential.
Travel Options
- Occasional travel including periodic onsite support for meetings/events and local site visits as needed.
