Position Summary:

We are looking for a highly capable and well-organized Executive Assistant to support the Chief Financial Officer at Mesabi Metallics Nashwauk location. This is a strategic role that ensures smooth daily operations for the CFOs office for calendar management stakeholder coordination and documentation across both internal teams and external partners.

Beyond traditional executive assistant duties this role requires comfort working with project workflows technical data and reporting documentation. Its ideal for someone with experience supporting senior leadership in a project-driven industrial environment who is confident engaging with cross-functional and technical teams.

Key Responsibilities
Reporting to the Chief Financial Officer will be responsible for the following:

1. Executive Support
  • Manage the CFOs daily calendar appointments and travel logistics (domestic and international where applicable).
  • Proactively identify scheduling conflicts and optimize meeting slots based on priorities.
  • Prepare meeting agendas take minutes and track action items for follow-up.
  • Anticipate the CFOs needs ahead of meetings briefing notes relevant documents or background context.
  • Manage expense reports reimbursements and related administrative filings for the CFO.
2. Stakeholder & Communications Coordination
  • Act as the main point of contact between the CFO and internal departments (engineering procurement finance site operations) and external stakeholders (vendors contractors auditors legal counsel).
  • Follow up on pending decisions documentation and updates across teams to ensure timelines are met.
  • Draft and format official communications reports presentations and correspondence on behalf of the CFO.
  • Screen and prioritize incoming requests calls and emails escalating time-sensitive matters appropriately.
3. Documentation & Reporting
  • Maintain a structured system for document control and access (emails meeting notes contracts schedules approvals).
  • Ensure timely submission of reports dashboards and updates required for leadership and board-level reviews.
  • Support tracking of budget approvals invoice signoffs and procurement documentation requiring CFO review.
  • Coordinate with Finance team on recurring reporting cycles (monthly closes forecasts audit requests) to ensure CFO inputs are captured on time.
4. Confidentiality Judgment & Office Management
  • Handle sensitive financial legal and personnel information with strict discretion and professionalism.
  • Exercise sound judgment in prioritizing the CFOs time filtering requests and representing the CFOs intent accurately to others.
  • Maintain organized digital and physical filing systems in compliance with internal document retention policies.
  • Support special projects and ad hoc initiatives assigned by the CFO (e.g. preparing for board meetings investor visits or site reviews).
  • Undertake any other ad hoc responsibilities or special assignments as directed by the CFO based on evolving business or project priorities.
Skills and Qualifications:
  • Bachelors degree in business administration Finance or related field preferred.
  • 5 years of experience supporting C-suite or senior leadership ideally in finance industrial or manufacturing environments.
  • Excellent written and verbal communication skills; ability to independently draft polished error-free correspondence and reports for executive review.
  • High proficiency in MS Office Suite (Word Excel PowerPoint Outlook); familiarity with QuickBooks SAP or similar ERP/accounting systems is a plus.
  • Ability to multitask prioritize and work under pressure in a dynamic project environment.
  • Strong organizational and time management skills; able to manage multiple tasks with changing priorities.

  • $70000- $80000 annually depending on experience and qualifications.
