The College of Professional Studies (PSC) unit is a hub for non-credit workforce development professional upskilling and continuing education. PSC serves adult and working learners through a dynamic and evolving portfolio of programs including industry credentials credit for prior learning pathways and workforce focused strategic initiatives all designed to meet the demands of todays economy.

Position Summary

The Program Operations Coordinator provides part-time operational and coordination support for a portfolio of non-credit professional and continuing education programs within a dynamic evolving unit. This role focuses on day-to-day execution keeping active non-credit programs running smoothly supporting learners and partners and maintaining compliance with workforce-related reporting requirements.

Reporting to the Executive Assistant to the Dean of the College of Professional Studies and partnering closely with the Faculty Director of Strategic Initiatives the Program Operations Coordinator operates exclusively within the non-credit sphere. The ideal candidate is highly organized systems-minded and comfortable managing a portfolio of programs at varying lifecycle stages simultaneously.

This is a part-time position (approximately 20 hours per week) requiring strong follow-through a problem-solving orientation and the ability to work across multiple programs and stakeholders with minimal supervision.

This is a non-benefited position not to exceed 1000 hours in a calendar year.

Essential Functions

Program Operations & Coordination

Day-to-Day Stewardship: Manage the daily operations of active non-credit programs ensuring smooth delivery and a high-quality learner experience across a portfolio at varying stages

  • Enrollment & Scheduling: Coordinate non-credit enrollments rosters scheduling partner communications invoicing and learner onboarding in a timely and accurate manner
  • Learner Support: Resolve routine learner issues with professionalism and empathy; escalate complex cases to appropriate stakeholders as needed
  • Risk Tracking: Monitor program timelines and proactively surface risks or gaps that may affect learner experience or program delivery

Systems Documentation & Reporting

  • Records Management: Maintain accurate and up-to-date records across registration systems learning platforms spreadsheets and shared drives
  • Reporting & Dashboards: Build and maintain reporting tools and dashboards tracking non-credit enrollment completion certificate issuance and compliance activities
  • Operational Documentation: Develop and maintain process documentation including checklists timelines and desk guides that supports team workflows consistency and knowledge sharing

Strategic Initiatives Support

  • Completion Records: Document non-credit completions and industry credential attainment in standardized completion records aligned with institutional and workforce reporting requirements
  • Adjunct Faculty Outreach: Conduct structured outreach to adjunct faculty via email and online meetings to gather data and insights that support strategic initiatives and experiential learning development
  • Data & Reporting: Deliver requested data reports and summaries to support compliance activities and strategic planning by unit leadership
  • Compliance Support: Assist with state Eligible Training Provider List (ETPL) and similar workforce-related reporting processes as needed

Knowledge Skills and Abilities

  • Strong organizational and time-management skills with the ability to manage multiple programs at varying lifecycle stages simultaneously
  • Excellent written and verbal communication skills for professional correspondence with learners partners and internal stakeholders
  • Proficiency with digital tools including spreadsheets shared documentation platforms learning management systems and CRM or registration systems
  • Demonstrated ability to build and maintain operational documentation process guides and reporting dashboards
  • Problem-solving orientation with strong follow-through and the ability to resolve issues independently and escalate appropriately
  • Comfort working in a fast-paced evolving environment across multiple programs and stakeholders
  • Experience supporting adult or working learners with a professional and responsive approach
  • Reliable punctual and able to work independently with minimal supervision

Required Qualifications

  • Bachelors degree or equivalent combination of education and experience
  • Two to four years of experience in program coordination operations or administrative support
  • Experience working in higher education professional education or workforce development
  • Experience using AI tools (such as Claude ChatGPT or similar) to draft communications analyze information and produce work products collaboratively
  • Demonstrated proficiency with spreadsheets registration or CRM systems and shared documentation tools
  • Ability to work approximately 20 hours per week with schedule flexibility based on operational needs

Preferred Qualifications

  • Experience administering non-credit professional or continuing education programs
  • Familiarity with state Eligible Training Provider List (ETPL) compliance or similar workforce-related reporting systems
  • Knowledge of the industry credentialing ecosystem (AWS Microsoft Google CompTIA PMI Salesforce and similar)
  • Experience creating or maintaining operational documentation or process guides
  • Familiarity with adult and working learner populations and their unique needs

Working Environment

  • Office environment at the University of Denver campus with hybrid or remote flexibility based on operational needs
  • Moderate steady-paced workload with periodic increases during key program delivery or reporting periods

Physical Activities

  • Ability to sit at a desk and use computer and phone for extended periods
  • Occasional light lifting up to 10 pounds

Work Schedule

This is a part-time hourly non-benefited position working up to 1000 hours annually (approximately 20 hours per week). Schedule flexibility and hybrid or remote work arrangements may be considered based on operational needs and in accordance with University policies. The staff member is responsible for ensuring total work hours do not exceed 1000 in a calendar year.

Hourly Rate:
The hourly rate for this position is $32.50 per hour (part-time up to 1000 hours annually)
