Bilingual Administrative & Accounting Assistant Fixed-Term Contract (12 months, onsite)
Job Summary
About the Role
Our client is a successful Real Estate Broker in the South Shore area. We are looking for a Junior Administrative & Accounting Assistant to support the Broker with day-to-day operations property listings and basic bookkeeping in a hands-on roll-up your sleeves environment.
Tasks
Key Responsibilities
- Manage the Brokers calendar schedules and appointments using tools such as Google Calendar or Outlook.
- Update and maintain property listings on platforms such as Airbnb and social media (Instagram Facebook).
- Support guest/client communication and coordinate with suppliers internal staff and other partners via email phone and messaging apps or in-person.
- Assist with basic bookkeeping (invoicing expense tracking data entry simple reconciliations) using Excel / Google Sheets and accounting tools (e.g. QuickBooks Online Zoho Expense Sage 50 or similar).
- Prepare simple reports (occupancy revenue expense summaries) and maintain organized digital and physical files.
- Perform occasional on-site tasks such as visiting properties to take photos drop off documents or verify listing accuracy.
Requirements
- Experience: No prior experience required. Any background in administration coordination basic bookkeeping or real estate is an asset.
- Education: College diploma (DEC/AEC) or Vocational diploma (DEP) in Business Administration Accounting Office Systems Technology or a related field. A combination of a high school diploma and relevant hands-on bookkeeping experience will also be considered.
- Technical Skills: Strong proficiency in Excel / Google Sheets; comfortable learning and using basic accounting software.
- Languages: Full professional proficiency in both French and English (spoken and written) is required. Note: This role requires daily communication with international guests out-of-province clients and various external suppliers.
- Other: Strong attention to detail highly organized and capable of maintaining professional boundaries. A valid drivers licence and access to a car are required for on-site property visits.
