Position Overview
Tekberry is seeking an Administrative Associate to support the Division of Primary Care and Population Health within a prestige University. This role provides high-level administrative and operational support to faculty and division leadership with a strong focus on event coordination calendar management and financial processing.
This position is ideal for a highly organized detail-oriented professional who thrives in a fast-paced academic environment and can manage multiple priorities with minimal supervision.
Responsibilities
Coordinate and support conferences seminars webinars and faculty events including vendor management logistics and materials distribution
Serve as liaison between internal teams faculty and external vendors to ensure seamless event execution
Provide technical support for meetings (PowerPoint video conferencing teleconferencing)
Organize faculty interviews (virtual and onsite) including scheduling agenda development and logistics coordination
Support onboarding activities for new faculty and assist with navigating university systems
Draft format and distribute communications and materials such as presentations reports and seminar content
Manage complex calendars for faculty resolve scheduling conflicts and coordinate meetings and travel arrangements
Process and track financial transactions including reimbursements vendor payments and P-card purchases
Maintain accurate records and resolve discrepancies in financial documentation
Order and track office supplies manage invoices and support office coordination needs
Maintain and update division website content as needed
Required Qualifications
High school diploma and 3 years of administrative experience or equivalent combination of education and experience
Strong organizational skills with the ability to prioritize and manage multiple tasks
Excellent verbal and written communication skills
Proficiency in Microsoft Office and general office systems
Demonstrated ability to follow through and complete tasks with high accuracy
Strong interpersonal and customer service skills
Preferred Qualifications
Bachelors degree and 2 years of relevant experience
Prior experience at Stanford University or within higher education
Experience supporting senior leadership or faculty
Event planning and coordination experience
Ability to maintain confidentiality and exercise sound judgment
Strong analytical and problem-solving skills
Work Environment & Requirements
Hybrid work environment (2 3 days onsite in Palo Alto CA)
Fast-paced academic setting supporting faculty and division operations
Frequent desk-based computer work with occasional standing walking and light lifting (up to 10 lbs)
May require flexibility to support events or deadlines
