Job description
We are recruiting for a project administrator who will have a strong attention to detail be able to competently manage a wide range of tasks efficiently to a high standard and provide excellent customer service to our team and clients. You will need to be able to work effectively as part of our operations team and be ready to positively contribute to multiple fast-moving project teams.
The main objectives of the Operations Team at Software City are to provide:
Foundational Support: Providing foundational systems and support to improve consistency and efficiency across the organisation
Audit Ready Projects: Developing the necessary documentation and infrastructure to measure and meet our funding and legal obligations
Continuous Improvement: Provide visibility and leadership around continuous improvement opportunities across the organisation
Positive Experiences: Create an environment where customers staff and partners have a positive and memorable experience with us
This is an exciting and varied role that provides significantly more than basic level administration to the right candidate.
Our projects are wide-ranging and include working with audiences such as individuals seeking new opportunities businesses and non-profits looking to adopt new technology and high-growth tech startup founders.
How you will contribute to our objectives
You will be expected to deliver the following responsibilities to help us deliver on our objectives:
Acting as a first point of contact for enquiries via email and phone responding proactively and handing over to other members of the team where necessary.
Managing project administration including communication with clients obtaining compliant paperwork and keeping data clean and up to date.
Preparing documentation reports and managing the output of our internal tracking tools for staff funders and partners.
Support the scheduling booking and coordination of workshops events and client meetings.
Assist with logistics for events including arranging venues supporting delivery staff welcoming attendees and ensuring follow-up.
Support consistent approaches to event management by keeping databases of suppliers and event processes updated and relevant.
Help track participant progress and across projects and engage with them where necessary to support active participation.
Providing instructions to other team members on how to use our systems and follow our project delivery processes.
Job requirements
You do not need to be a digital expert but you will need to understand how technology can be used to improve outcomes in projects. You will need to be highly organised and comfortable working with multi-disciplinary teams on fast-moving projects.
Important for success:
Excellent organisation and administrative skills
High attention to detail and the ability to manage tasks across multiple projects
Confident in using a range of digital tools (databases reporting systems etc.)
Strong written and verbal communication skills
Ability to work as part of multiple teams as well as independently
Ambition for personal development and growth
Nice to have:
Experience supporting events and/or training delivery
Understanding of how different public and private funding works
Knowledge of the technology sector in the North East
Experience working with SMEs charities and social enterprises
