Overview

The client designs and supplies architectural kit homes across the country. Using their own proprietary framing system homes are delivered through a national network of registered builders and owner-builders.

As demand for our homes continues to grow rapidly we are seeking a highly organized Sales Coordinator to support the Sales Department by managing new enquiries and qualifying prospective clients to maximize sales conversion rates. Reporting to the National Sales Manager this role is central to ensuring every project begins smoothly. You will be responsible for managing screening and qualifying enquiries ensuring all required information is captured and that prospective clients are ready to progress into the design phase.

In this role you will be responsible for managing all new enquiries undertaking initial pre-screening gathering required client information and maintaining accurate records within our CRM system (). You will play a key role in ensuring all client documentation and project information is well organized complete and up to date allowing projects to transition smoothly from the Sales Team to the Design Team.

Reporting to the National Sales Manager you will screen & qualify incoming enquiries to ensure prospective clients align with our offering and have the necessary information & understanding of our process to progress into the design phase confidently.

This position is central to maintaining a well-structured and efficient sales pipeline ensuring the Sales Team is focused on qualified clients who are ready to move forward with their project.

Key Responsibilities
  • Manage all enquiries sending standard response emails and information to clients at each stage of the enquiry process.
  • Develop a strong understanding of the House product offering and internal processes to effectively engage with prospective clients and respond to initial enquiries via email.
  • Undertake pre-screening of all Ready Now leads to ensure site conditions and project requirements align with House design principles and offering.
  • Maintain and manage client records within our CRM system () and Dropbox filing systems setting up new client profiles and ensuring all information is accurate complete and well organized.
  • Follow up with clients to collect any outstanding information required to progress their project.
  • Prepare and issue Client Proposals in accordance with internal processes.
  • Maintain accurate structured & up-to-date records to support an organized and efficient sales pipeline.
  • Track and manage enquiry pipeline stages ensuring leads are appropriately categorized followed up and progressed through the sales process to maximize enquiry-to-client conversion rates.
  • Assess enquiry quality and prioritize high-value leads ensuring the Sales Team focuses on clients most likely to proceed with their project.
  • Identify opportunities to improve enquiry management onboarding systems and internal sales processes to support the continued growth of the business.

5 years expeStrong administrative organisational and time management skills Excellent attention to detail and data accuracy Experience working with CRM systems ( experience preferred) Comfortable using Outlook document management systems and shared workspaces Strong communication and coordination skills Ability to manage multiple tasks while maintaining structured and organised workflows A proactive solutions-focused mindset Experience in residential rendering (nice to have) Ability to generate floor plans (space floor plans) nice to haverience as a Mechanical Estimator preferably in gas energy or heavy industrial sectors Tertiary qualification in Mechanical Engineering or relevant trade qualification (Cert III) Proficient in planning organising and working to timelines and schedules Strong computer skills in Microsoft Office Suite Strong knowledge of gas power plant systems mechanical construction and installation methods is an advantage Clear understanding of appropriate Australian Codes and Standards OH&S Codes and Standards is a plus Excellent communication and stakeholder engagement skills Ability to assess and manage risk in cost planning
