The Role: Specialist Administration

Our site in Kulim Hi Tech Park is seeking an Specialist Administration to join our team. The role is to provide efficient administrative support to Plant Management Group.

What Youll Do:

  • Provide comprehensive administrative support to departmental managers especially the Senior Director of Manufacturing Operations Management. This includes preparing reports developing presentation materials and managing meeting schedules.

  • Serve as the primary point of contact for all travel arrangements including flight and hotel bookings.

  • Coordinate visitor logistics such as meeting arrangements transportation and other related requirements.

  • Manage company stationery requests including inventory control distribution and replenishment of office and pantry supplies.

  • Monitor and source office supplies researching cost-effective vendors and advantageous deals.

  • Interface with all levels of the organizationtop management managers executives technical staff and clerical employeesto resolve administrative matters efficiently.

  • Oversee lobby decorations and ensure they align with company branding and seasonal events.

  • Serve as a backup for front office operations when necessary.

  • Coordinate and manage vendor promotional activities.

  • Supervise canteen operations addressing issues and ensuring consistent quality and service.

  • Manage locker assignments and ensure timely maintenance.

  • Ensure compliance with Entegriss Quality Systems ISO standards RBA and other applicable regulations to support the highest product quality.

  • Promote a safe and healthy work environment by recommending improvements and ensuring compliance with OSHA and other relevant health and safety regulations.

  • Maintain cleanliness and safety in all work areas ensuring a debris-free environment.

  • Perform additional duties and projects as assigned.

What We Seek:

  • Diploma/Degree in Business Administration or a related field.

  • Minimum of 3 5 years of experience in an administrative or office support role.

  • Proficient in Microsoft Office applications particularly Word Excel and PowerPoint.

  • Tech-savvy with the ability to quickly adapt to new software and digital tools.

  • Strong command of English both written and verbal for clear and effective communication.

  • Strong organizational and time management skills with the ability to multitask and prioritize work efficiently.
