Overview
The Kemin Animal Nutrition and Health (KANA) Executive Administrative Assistant provides high-level administrative and project support to the President and Leadership Team. This role requires exceptional organizational skills discretion and the ability to exercise independent judgment in a fast-paced environment. The ideal candidate will manage complex schedules coordinate events and ensure seamless communication across the organization while maintaining professionalism and confidentiality.

Responsibilities
- Proactively manage calendars prioritize meeting requests and resolve scheduling conflicts for the leadership team.
- Coordinate and schedule recurring meetings (e.g. weekly 1:1s monthly leadership meetings quarterly reviews company-wide meetings).
- Prepare format and finalize letters reports presentations and other documents.
- Monitor and manage email communications ensuring timely responses and follow-ups.
- Maintain organizational charts and distribute updates monthly.
- Prepare and submit board reports and monthly P-Card reports.
- Arrange travel for KANA President and Finance Director anticipating special needs resolving conflicts and managing international requirements (e.g. passports visas).
- Plan and execute company events and leadership offsites (e.g. summer picnic town halls strategic meetings annual offsite).
- Coordinate logistics for meetings including facilities equipment and presentation materials.
- Lead and coordinate projects and initiatives supporting company objectives as needed.
- Gather and compile data from leadership team members for reports and presentations and follow-up with the team on deadlines.
- Manage information flow to ensure timely and accurate communication within the leadership team.
- Support Finance Director with administrative and reporting tasks.
- Prepare agendas and distribute materials in advance.
- Attend strategic and confidential meetings take notes track action items and follow up withthe leadership team.
- Ensure meetings start on time and run efficiently.
- Serve as one of the first point of contact for internal and externalcustomers representing the company positively.
- Maintain strict confidentiality and demonstrate integrity in all interactions.
- Exhibit clear and professional communication across all channels.
- Handle challenging situations and difficult individuals with tact and courtesy.
Qualifications
- Education and Experience:
- Bachelors Degree with 5-7 years of related experience OR
- High School Diploma with 7 years of related experience
- Strong organizational and project management skills.
- Advanced proficiency in Microsoft Office Suite (OutlookExcel PowerPoint Word SharePoint).
- Technologically proficient and comfortable in technology-driven environments.
- Excellent written and verbal communication skills.
- Ability to exercise independent judgment and make decisions.
- High level of professionalism and discretion.
- Customer service orientation and strong interpersonal skills.
- Attention to detail and ability to multitask.
