Job Summary

Our client is looking for a Trust Administrator to join their team.
Salary:
Negotiable
Responsibilities:
  • Oversee daily Trust operations across residential facility and administrative areas.
  • Manage two Executive Managers: one overseeing exterior staff (security vehicles landscaping) and one managing interior staff (housekeeping chef domestic workers).
  • Supervise the Administrative Assistant to ensure timely and accurate completion of clerical tasks and scheduling.
  • Oversee and manage the Trust s human resources functions aligning HR strategies with organizational goals.
  • Support recruitment onboarding and training processes for staff.
  • Administer payroll benefits and compensation systems to ensure timely and accurate payment and compliance.
  • Foster positive employee relations address staff concerns with discretion and maintain high morale.
  • Ensure compliance with all applicable labor and employment laws and manage HR documentation and personnel records.
  • Support performance evaluation systems and recommend professional development opportunities.
  • Support the Director in managing the Trust s real estate portfolio by ensuring timely rental collection accurate reporting and effective oversight of expenses and operational updates.
  • Coordinate closely with the Trust s Financial Advisor to support accurate and timely financial documentation.
  • Maintain filing systems receipts and monthly reconciliations as needed.
  • Support Administrative assistant with day-to-day bookkeeping duties including petty cash invoicing and expense tracking.
  • Manage calendar coordination meeting preparation and administrative logistics for the Director.
  • Maintain accurate and accessible digital and physical records.
  • Support travel logistics document filing and correspondence related to Trust business.
  • Ensure strong communication channels between departments and teams.
  • Generate and submit weekly summaries to the Director with updates across operational areas.
  • Flag any risks or inefficiencies and offer proactive solutions to uphold excellence.

Qualifications:
  • Diploma or bachelor s degree in business administration human resources or related field.
  • Minimum 3 years of progressive experience in high-level administrative or operations roles with exposure to HR functions vendor coordination and confidential information management.
