The BEST EMS Administrative Manager supports the operational infrastructure of BEST EMS by overseeing coordination systems developing standardized processes and strengthening administrative and communication workflows across contracts and educational programs. This exempt level role ensures organized scalable operations that support partners medical directors and future organizational growth.ESSENTIAL DUTIES AND RESPONSIBILITIESInclude the following. Others may be assigned.- Support the oversight and day to day management of centralized BEST EMS scheduling systems ensuring organized coordination of contract coverage medical director engagement and educational programming. Management of Invoice processes. Develop organized processes to support leadership review and decision-making.
- Design standardize and manage efficient workflows that support administrative documentation and communication processes. Identify opportunities for automation system enhancements and operational efficiencies to improve scalability and reduce manual burden.
- Lead the development and maintenance of operational documentation systems including policies procedural guidelines contracts CQI and continuing education documentation ensuring consistent standards accessibility and operational continuity. Draft documentation and updates for leadership review and approval. Serve as the operational liaison for MSA services between BEST EMS and IES facilitating coordination information flow and administrative alignment between organizations.
- Coordinate partner communication and administrative coordination at the direction of leadership ensuring accurate and timely preparation review and distribution of approved communications and documentation Provide approved documentation or information as requested and serve as a structured point of coordination for gathering and organizing information when appropriate.
- Manage centralized tracking systems and operational calendars related to contracts educational programs and other BEST EMS initiatives to support leadership visibility and planning.
- Support outreach engagement and program promotion efforts through structured communications and coordinated marketing initiatives aligned with organizational goals.
- Develop and maintain operational reporting and tracking mechanisms that support leadership oversight of scheduling program activities and administrative performance.
- Participate in operational planning and process improvement efforts identifying opportunities to strengthen infrastructure standardize processes and support the continued growth of BEST EMS services.
SUPERVISORY RESPONSIBILITIESThis position carries out supervisory responsibilities in accordance with guidelines policies and procedures and applicable laws. Supervisory responsibilities include interviewing hiring and training employees; planning assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.QUALIFICATIONSKnowledge Skills Abilities: To perform this job successfully an individual must be able to perform each essential duty satisfactorily. - Strong organizational and systems-thinking abilities.
