ABOUT THE ROLE
Reporting to the Manager Information Governance is responsible for implementing departmental email and information management projects; conducting research; gathering documenting and confirming user business requirements; ensuring consistency to corporate policies and information management standards and best practices; conducting business process analysis to support efficiency improvements.
WHAT YOU WILL BE DOING
- Creates project documentation (charters project scope business requirements test cases and timelines) for projects related to information management or process improvement projects.
- Applies business analysis knowledge and experience to examine corporate and Department business needs and ensures a timely and effective solution is provided to meet operational and Regional requirements.
- Acts as key facilitator within the project team between the Business Units affected and other corporate partners
- Identifies information management and user Departments business needs and determines process improvements.
- Gathers and analyzes data from ITS IAM and user Departments and assesses impact of projects and initiatives.
- Works with IAM staff to plans and implement business unit specific email and information management projects and initiatives; conducts business process analysis of user Departments needs; documents improvement to ensure that the implementation of information management projects and initiatives meet corporate and business user requirements for increased efficiency and productivity.
- Analyzes and provides feedback on current corporate or Department/Business Unit specific information and Email management practices and recommends improvements to ensure alignment with the Regions information governance framework.
- Provides input and assists in the development of policies and procedures related to the management of business value information in multiple formats
- Assists users in developing requirement specifications based on their needs.
- Provides project progress reports and updates to various levels of staff on a regular basis.
- Makes presentations to all levels of staff.
- Performs other duties as assigned in accordance with Branch and Department objectives.
- Assists with the development of innovative training and delivery to end users to ensure current and new business processes are followed as required.
WHAT WE ARE LOOKING FOR
- Successful completion of a Community College Diploma in Records and Information Management Library and Information Science or related field or approved equivalent combination of education and experience.
- Minimum three (3) years demonstrated experience in Information Management the application of Email Management Systems and experience or training in business process analysis re-engineering and workflow analysis.
- Experience in project management and change management processes.
- Sound knowledge of Microsoft Exchange M365 and other collaboration or information management systems.
- Knowledge of current trends and changes in information management Email management and information governance
- Understanding of records and information management principles and practices legislation and retention and compliance implications.
- Demonstrated ability in the Regions core competencies.
