Job Summary
Elastic the Search AI company is seeking a highly capable Executive Assistant to support the Vice President APJ (Singapore) and the Area Vice President Emerging Markets (Dubai). This role will be based in Singapore and operates in a hybrid model with an expectation to be in the office when the VP APJ is present. This is a fast-paced high-impact role requiring someone who can operate with strong judgment resilience and minimal direction. The successful candidate will be proactive highly organized and comfortable supporting senior leaders with demanding schedules and strong personalities. You will play a key role in ensuring both executives are able to operate effectively across regions and time zones.
What You Will Be Doing
- Manage complex and dynamic calendars across multiple time zones for the VP APJ and AVP Emerging Markets.
- Coordinate domestic and international travel including detailed itineraries logistics and travel documentation.
- Prepare executive visit schedules including customer meeting trackers and travel itineraries.
- Coordinate preparation for CEO and GVP International visits including agendas briefing materials logistics and steering calls with regional teams ahead of key engagements.
- Prepare and format executive presentations briefings and meeting materials.
- Screen and prioritize communications while ensuring executives remain focused on key business priorities.
- Coordinate leadership meetings and company calls including logistics meeting rooms and communications.
- Handle confidential information and sensitive matters with the highest level of discretion.
- Submit accurate expense reports and maintain supporting documentation.
- Provide administrative support related to the coordination and organization of legal or corporate documentation where required.
- Partner closely with the Senior Executive Assistant to the GVP International to coordinate alignment regarding leadership meetings deal reviews and strategic discussions.
What You Bring
- 57 years of executive support experience ideally supporting VP or C-suite leaders.
- Experience supporting leaders in sales go-to-market or revenue-focused organizations is strongly preferred.
- Experience working in global environments across multiple time zones.
- Exceptional organizational and project management skills with strong attention to detail.
- A proactive mindset with the ability to anticipate needs and work independently with minimal guidance.
- The resilience and confidence to support senior leaders with high expectations and strong personalities.
- Strong communication and interpersonal skills with the ability to engage confidently with senior stakeholders.
- High levels of discretion when handling confidential information.
- Advanced proficiency in Google Workspace (Gmail Docs Sheets Slides Calendar) and Microsoft Office (Word Excel PowerPoint).
- Experience with Concur is a plus.
- Adaptable solutions-focused and comfortable managing multiple priorities in a fast-moving environment.
