Job Description – HR & Admin Manager (Plant)
Location Plant Site Reporting To: MD
Role Objective
To manage end-to-end HR operations statutory compliance safety coordination and plant administration to ensure smooth workforce functioning legal adherence and uninterrupted plant productivity.
Key Responsibility Areas (KRAs)
1. Recruitment & Manpower Planning
- Execute manpower planning as per production schedules
- Hire operators technicians staff and contract labour
- Manage onboarding documentation and induction
- Maintain skill matrix and manpower backup planning
2. Attendance Payroll & HR Operations
- Manage biometric attendance shifts and leave records
- Validate overtime and payroll inputs
- Maintain employee master data and HRMS
- Handle joining confirmation transfers and exits
3. Statutory & Labour Law Compliance
- Ensure compliance with Factories Act CLRA PF ESIC Bonus Gratuity Minimum Wages etc.
- Maintain statutory registers and returns
- Coordinate inspections and audits
- Ensure contractor compliance documentation
4. Contract Labour Management
- Contractor onboarding and headcount control
- Wage and attendance verification
- Issue gate passes and compliance checks
- Resolve contractor workforce issues
5. Employee Relations & Discipline
- Address grievances and shopfloor concerns
- Conduct counselling and disciplinary actions
- Issue warnings/memos/charge sheets when required
- Maintain healthy industrial relations
6. Training & Development
- Conduct HR and safety induction for all new joinees
- Identify skill gaps and coordinate technical/safety training
- Maintain training calendar and records
- Support multi-skilling initiatives
7. Safety Management & Compliance
- Ensure adherence to plant safety rules and SOPs
- Coordinate with EHS team for safety initiatives
- Conduct safety inductions and awareness programs
- Track PPE issuance and compliance
- Participate in audits drills and incident investigations
- Ensure timely closure of safety observations
8. Administration & Facility Management
- Manage housekeeping security canteen and transport
- Oversee plant cleanliness hygiene and 5S standards
- Handle vendors and service contracts (SLA monitoring & billing)
- Maintain assets utilities and office infrastructure
- Ensure employee amenities and audit readiness
9. HR MIS & Reporting
- Daily manpower and attendance reports
- Payroll and overtime summary
- Attrition and absenteeism reports
- Compliance and training trackers
- Admin expense and vendor reports

Qualification & Experience
MBA/MSW/PGDM – HR
4–6 years HR/Admin experience in manufacturing/plant environment preferred
