Compensation Range:Starting at $26/hour - Non-exempt
Schedule:Monday Fridaystandard business hours (8:00 a.m. 5:00 p.m.)

The Commercial Property Coordinator supports the day-to-day administrative financial and operational functions of the property management office. This role serves as a primary point of contact for tenants vendors and visitors while ensuring office operations runefficientlyand property management processes are executed position plays a key role in tenant relations lease administration support accounts payable and receivable processes insurance compliance vendor coordination and maintenance support. The ideal candidate is highly organized detail-oriented and capable of managing multiple priorities in a fast-paced commercial real estate environment.
WhatYoullDo:
ACCOUNTING
Enter andsubmitall invoices and payables into Yardi for approval and remit payment upon approval.
Assistwith weekly payment runs including preparing checksrecordingandadjusting entries in Yardi.
Perform initial outreachregardingoutstanding rent payments and serve as the first point of contact for accounts receivable inquiries.
Process tenant payments and cash receipts and apply payments in Yardi.
Track delinquencies andassistwith tenant billing and invoicing; research billing and payment discrepancies as needed.
Support bank and credit card reconciliations and compile routine reports (e.g. A/R and A/P aging) escalating variances or issues promptly.
PROPERTY MANAGEMENT & COORDINATING
Serve as the primary point of contact for phone calls walk-ins and general email inboxes and support dailyproperty managementoperations.
Serve as theinitialpoint of contactformaintenancework orders byenteringthe details into the work order softwareconfirming insurance requirements andcoordinating accesswith tenantsand vendors.
Serve as the primary facilitator for tenant move-ins and move-outs includingsending welcome emails to new tenants distributing fully executed leases to tenantskey management insurance collection suite cleaning coordination documentationprocessingand filingetc.
Collect reviewsubmitand file Certificates of Insurance (COIs) for tenants and vendors ensuring all insurance requirements are met prior to approving or coordinating vendor work.
Support vendorsetupand updates including collecting and organizing W-9s contact details and compliance documentation.
Draft and distribute tenant and property memos related to events outages capital improvements and operational updates.
Draft and complete lease abstracts forexecutedlease agreements.
Prepareconferenceroomforbi-weekly staff meetings and send reminders to staff in advance.
Assistwith monthly updates to the property website related to tenant occupancy and availability.
Plan and coordinate tenant events including vendor coordination maintenance support memo distribution and work order entry.
OFFICE MANAGEMENT
Maintainhigh standardsfor themanagementoffice including appearance cleanliness organization and professionalism.
Oversee daily office operations including opening and distributing mailmaintainingphysical and electronic filing systems ordering suppliesmaintainingoffice inventory stocking snacks and coordinating staff appreciation lunches.
WhatYoullNeed to Succeed:
High school diploma or equivalent required;associates or bachelorsdegree preferred.
Minimum of 2 years of administrative experience;real estate orproperty managementexperience preferred.
At least 1 year of bookkeeping/accounting support experience preferred.
Familiarity with lease documentation insurance compliance and vendor coordination is a plus.
Strong administrative organizational and time-management skills.
Working knowledge of property management operations and tenant relations.
Experience with accounting systems and data entry; Yardi experience preferred.
Ability to manage multiple priorities with attention to detail and accuracy.
Strong written and verbal communication skills.
Proficiencywith Microsoft Office and ability to learn basic website update tools.
Professional demeanor with strong customer service and problem-solving skills.
Ability tomaintainconfidentiality and handle sensitive information appropriately.
