Primary Duties & Responsibilities
1. Document Control
- Maintain and control QMS documents and records in accordance with established document control procedures.
- Ensure timely review approval distribution and archival of controlled documents.
- Monitor document revision status and ensure only current versions are available at points of use.
- Support audits by providing controlled documents and records as required.
2. Compliance Obligation Monitoring
- Assist in tracking applicable regulatory statutory customer and internal compliance obligations.
- Maintain compliance registers logs and related records.
- Support periodic reviews to verify ongoing compliance with applicable requirements.
- Escalate potential compliance gaps to the QMS or Quality Manager
3. Corrective Action Support
- Assist in the administration of 8D Qualityze (online platform in managing corrective actions.)
- Track corrective action status due dates and effectiveness checks.
- Follow up with process owners to ensure timely closure of assigned actions.
4. Continual Improvement Support
- Support the collection tracking and reporting of improvement initiatives (Bright Ideas) and quality metrics.
- Assist in documenting improvement actions arising from audits management reviews and performance analysis.
- Help maintain logs for nonconformities improvement opportunities and lessons learned.
5. Administrative Support
- Provide general administrative support to the QMS and Quality teams.
- Prepare reports presentations and meeting minutes related to QMS activities.
- Coordinate schedules for audits reviews and quality-related meetings.
- Maintain organized and accurate QMS files and databases.
Education & Experience
- Bachelors degree in engineering Business Administration or a related field (or equivalent experience).
- 13 years of experience in a quality compliance or document control role preferred.
- Familiarity with ISO 9001 or similar management systems is an advantage.
Skills
- Strong organizational and document management skills.
- Attention to detail and ability to maintain accurate records.
- Basic understanding of compliance corrective actions and quality processes.
- Proficiency in MS Office and document management systems (e.g. Agile PLM SharePoint or similar).
- Effective communication and follow-up skills.
