Job Summary

1. Executive Support

Calendar Management: Proactively managing complex schedules resolving booking conflicts and ensuring the executive has buffer time between meetings.

  • Travel Coordination: Planning end-to-end travel itineraries including flights hotels visas and ground transportation.

  • Communication Bridge: Acting as the primary point of contact between the executive and internal/external stakeholders. This often involves drafting emails or memos on the executives behalf.

  • Meeting Logistics: Preparing agendas taking minutes and following up on action items to ensure projects stay on track.

2. Front Office Operations

Guest Hospitality: Welcoming clients candidates and vendors with a professional demeanor.

  • Call Routing: Screening and directing incoming calls to the appropriate departments while filtering out solicitations.

  • Mail & Logistics: Managing incoming/outgoing couriers distributing mail and overseeing the reception areas aesthetic.

  • Security Liaison: Monitoring visitor logs and issuing badges to ensure office security protocols are followed.

3. Administrative & Facilities Management

Office Supplies: Tracking inventory and ordering stationery pantry supplies or business cards.

  • Vendor Management: Coordinating with building maintenance cleaners or catering services for office events.

  • Expense Reporting: Processing receipts and managing petty cash or departmental budgets.

  • Digital Filing: Maintaining organized digital and physical filing systems for easy retrieval of contracts or records.
