The Department
The Alfred Specialty Medicine program is comprised of six clinical units incorporating Clinical Genetics and Genomics Dermatology Endocrine and Diabetes Gastroenterology Renal and Rheumatology. The program provides admitted multiday care (Ward 4WA) and same day Dialysis services (Alfred Caulfield and Sandringham campuses). The program also provides specialist outpatient and ambulatory care proving >42000 patient consultations per year across The Alfred Caulfield and Sandringham campuses. The inpatient component of the program admits >22000 patients per year across the Gastroenterology Renal Endocrine/Diabetes and Rheumatology addition Alfred Specialty Medicine contributes to world-leading research and provides patients with access to the latest innovations in clinical trials and medical care.
The Role
The Administration Supervisor performs a range of leadership administrative and clerical tasks to support and assist the daily functions and activity of the Alfred Specialty Medicine Consulting Clinics. The Administrative Supervisor reports directly to the Nurse Manager of Alfred Specialty Medicine Consulting Clinics. The Administration supervisor brings approachable leadership responsiveness and provides professional support to ensure service and patient outcomes are delivered.
The job willsee you:
Leading your administration team to deliver customer focused outcomes
Supportingclinical staff(administrative teamdoctorsand nurses) with administrative tasks
Greeting patients handling referrals answering phonecallsand scheduling patient appointments
Providing Administrative cover for Specialist Consulting Clinics whenrequired
Maintaining and reviewing billing and VINAH reporting asrequired
Contributing to quality improvement initiatives
Experience and Qualifications Required
Highly Desirable
Previousexperience and proven skills as a supervisor ofstaff (preferably within a hospitalsetting)
Experience in leading or managing a team
Experience with patient management systems such as IPM and Cerner
Personable customer focused approach and commitment to high quality service
Desirable
Demonstrated computerproficiencyincluding MS Word MSPowerPointand MS Excel (foundational)
Sound administration experience in a hospital environment
Understanding of confidentiality and privacy legislation
Understanding of medical terminology
Ability to plan workflow prioritise and delegate to meet deadlines
