Stock Controller & HACCP Team Lead

Job Description

Our client is seeking a detaildriven Stock Controller & HACCP Team Lead to oversee inventory accuracy and lead food safety systems within a dynamic operations environment in Cape Town. This pivotal role combines endtoend warehouse stock control with the implementation and administration of HACCP processes ensuring traceability compliance and auditreadiness. The successful candidate will thrive in a fastpaced setting collaborating across departments to maintain stock integrity drive continuous improvement and champion a culture of quality and safety.

Responsibilities:

A. Stock Control Warehouse & Inventory Management (Cin7)

• Manage and organise stock within the warehouse including bin locations storage standards housekeeping and stock security.
• Ensure correct stock rotation (FIFO/FEFO where applicable) and storage conditions to protect product quality and shelf life.
• Issue stock accurately to departments including Dispatch Roastery/Production and Packing ensuring correct quantities batching/lot tracking (where used) and paperwork sign-off.
• Lead and coordinate cycle counts and full stock takes including:
  • Stock take planning count sheets/teams recounts variance reporting and close-out.
  • Post-stock take reporting and actions to improve inventory accuracy.
• Conduct stock investigations in Cin7 including:
  • Variance analysis root-cause investigations and corrective actions.
  • Investigations into negative stock timing issues unit-of-measure errors and process non-compliance.
• Perform stock transfers and stock adjustments on Cin7 with proper controls approvals and audit trail discipline.
• Receive stock in Cin7 ensuring:
  • Delivered quantities match purchase orders and documentation is correct (POs delivery notes invoices).
  • Discrepancies are recorded immediately and communicated to Procurement/Finance/Suppliers.
• Maintain accurate master data support (as relevant) e.g. UoM consistency BOM-related stock movements (if applicable) and item/location discipline.
• Prepare routine inventory reporting (weekly/monthly) on:
  • Stock on hand slow-moving/obsolete stock variances and shrinkage risks.
• Support continuous improvement to reduce stock losses improve accuracy and strengthen traceability.

B. HACCP Team Lead (Food Safety System Implementation & Maintenance)

• Lead the implementation of a HACCP-based food safety system in collaboration with an external consulting partner including timelines milestones and readiness for audits (where applicable).
• Maintain and administer the food safety documentation system including controlled documents registers records and version control.
• Chair and lead HACCP team activities including:
  • HACCP meetings action tracking and follow-ups.
  • Coordinating inputs from Production Warehouse Dispatch Maintenance and Management.
• Ensure operational compliance to food safety controls including:
  • Monitoring and record-keeping for relevant controls (e.g. sanitation pest control checks allergen controls if applicable temperature/humidity controls where relevant foreign body controls glass/brittle plastic chemical control).
• Lead staff management and training related to food safety controls:
  • Inductions refresher training toolbox talks and compliance coaching on the floor.
• Manage deviations and corrective actions:
  • Non-conformance logging root-cause analysis corrective/preventive actions verification of effectiveness.
• Support internal verification activities:
  • Internal audits (as required) GMP inspections record reviews and corrective action closure.
• Lead traceability readiness (important overlap with stock control):
  • Batch/lot traceability discipline mock recall support and document readiness.

C. Cross-functional and typical duties for a combined role

• Work closely with Production Dispatch Procurement Finance and Maintenance to ensure smooth material flow and compliance.
• Maintain a strong audit-ready environment: accurate records tidy warehouse/production interfaces and disciplined processes.
• Assist with supplier/product documentation collation where required (e.g. COAs/spec sheets where applicable).
• Promote a safety-first culture (OHS and food safety) reporting hazards and supporting safe work practices.
• Participate in operations meetings and contribute to continuous improvement initiatives.

Requirements:

• Matric required.
• Relevant certificate/diploma in Supply Chain Logistics Food Safety Quality or similar is advantageous.
• 25 years in stock control / inventory control in a warehouse manufacturing or FMCG/food environment.
• Practical experience using an inventory systemCin7 strongly preferred.

• Strong numeric accuracy investigation mindset and disciplined admin.
• Confident communicating with multiple departments and leading structured processes (stock takes corrective actions).
• High attention to detail with documentation and traceability.
• Strong computer literacy
• Ability to work in a dynamic diverse team

• HACCP training/certification preferred (or willingness to complete quickly).
• Prior exposure to GMP/food safety systems (HACCP/ISO 22000/FSSC 22000/BRC-type environments) is advantageous.
