Job Description
A -Executive Assistant to the Managing Partner
- Maintain a well-organised daily and long-range electronic calendar for the Managing Partner including external and internal meetings (with agendas) speaking engagements including domestic and international travel itineraries.
- Coordinate setting-up of in-person meetings video/audio conference calls with clients as well as internal calls with partners and various business verticals including preparation of materials in coordination with the business and operations team.
- Serve as the Managing Partners administrative liaison to key external stakeholders including clients and senior lawyers from foreign law firms etc.
- Participate as an adjunct member of the management team including assisting in scheduling meetings and attending all meetings.
- Keeping the Managing Partner well informed of upcoming commitments and responsibilities following up appropriately.
- Track the Managing Partners contact directory and keep it up to date of meetings/calls minutes of such meetings/calls and next follow-up steps etc and also putting each contact in various designated categories (priority family close not-close to-be-avoided etc).
- Serve as primary communications contact for the Office of the Managing Partner: Field all incoming calls maintain an electronic contacts list and support routine outreach.
- Manage communication for the Managing Partner with internal and external stakeholders.
- Edit and complete first drafts for written communications to both external and internal stakeholders.
- Follow up on contacts made by the Managing Partner and support the cultivation of ongoing relationships.
- Complete critical aspects of deliverables with a hands-on approach including drafting acknowledgement letters personal correspondence and other tasks that facilitate the Managing Partners ability to effectively lead the company.
- Build and develop relationships with lawyers and staff members for increased efficiency and responsiveness into existing operations and use that knowledge to define new operational strategies.
B -Private Office of the Managing Partner
- To present monthly Investment MIS to the Managing Partners (and other family members) covering portfolio reports.
- Ensuring timely accounting of all family assets including investment accounts properties trusts and other interests
- Supervising the tax plans and ensuring timely assessment and filing of direct & indirect tax returns including TDS returns in compliance with statutory tax laws.
- To plan coordinate and monitor the wealth advisors to set the framework for everyday accounting and tax management.
- To plan and coordinate family calendars with Managing Partners calendar to ensure there is no conflict.
- To plan and action special projects of the Managing Partners private office.
- To be the coordination point for other members of the Managing Partners private office.
C - Travel Management
- Making travel arrangements including flights hotels travel insurance local conveyance etc for the managing partner and other partners or guests of the firm as may be necessary.
- Assisting in the end-to-end visa process including filling up of application form scheduling interviews and check any other requirements (such as mandatory RT-PCR) etc.
- Tracking refunds in case of cancellation or rescheduling of any flights and/or hotels.
D - Practice Development HR Operations and Administration
- Assist in organising client events webinars etc.
- Provide support in steering key projects/ strategic initiatives.
- Assisting in the recruitment process of candidates and in the onboard and exit processes of lawyers/staff members.
- Managing office operations and procedures.
- Maintain office staff by recruiting selecting orienting and training.
- Manage insurances for the firm.
- Keeping a check on the operational budget of the firm across offices.
- Coordinate with the IT team for the requirements of the firm.
Experience: 5-10 yrs
Candidate Profile: Looking for a candidate who has experience in EA role and has done foreign travel booking and interacted with foreigners in their previous roles. Good communication skills.
