Role Expectations
Contract Operations Excellence
- Run the full contract workflow: intake templates redlines/version control approvals signature filing renewal/closeout.
- Partner across Legal Finance Procurement and business stakeholders to hit timelines and surface risk early.
- Maintain a clean contract repository (metadata obligations renewal dates) and provide simple status reporting.
- Track vendor compliance basics (onboarding requirements insurance key documents) and escalate issues early.
Event delivery (adjacent)
- Turn plans into high-touch customer experiences by supporting the execution for small-to-mid-size events (workshops client briefings webinars community sessions)
- Coordinate vendors (venue/AV/catering/printing) budgets run-of-show docs and day-of logistics.
- Own attendee comms (invites registration tracking reminders post-event follow-up) with a high bar for clarity and polish
Research & Insight SharePoint Knowledge Management (Adjacent)
- Conduct desk research and convert findings into short decision-ready briefs and slide-ready summary.
- Build and maintain lightweight knowledge assets (source lists templates FAQs what we learned notes) so the team gets faster and better over time.
- Own practicalSharePoint knowledge management to keep research and project knowledge usable:
- Maintain folder/library structure naming conventions and basic taxonomy/metadata for discoverability.
- Clean up and organize content (dedupe archive and retire outdated files) to keep libraries tidy and searchable.
- Publish repeatable templates (briefs event runbooks contract trackers) and ensure version control is followed.
- Coordinate access/permissions with stakeholders to support confidentiality and smooth collaboration.
- Improve findability: clear page/link organization pinned start here resources and consistent tagging.
Social Media Advocacy (Light Support)
- Help deliver a modest cadence (e.g. 12 posts/week) focused on practical respectful advocacy for working mothers in Japan (flexibility childcare realities re-entry support allyship).
- Draft route approvals and schedule posts; track basic engagement signals and recommend small improvements.
- Amplify credible partner/nonprofit initiativessolutions-oriented nonpartisan and brand-safe.
Hustle Learning and Outcomes
- Ramp quickly bring structure where things are messy and produce visible outcomes early.
- Use generative AI for drafts checklists summaries and first-pass researchpaired with strong judgment confidentiality and quality control.
Must-have Requirements
- Contract administration experience (3 years) across standard agreements (NDAs SOWs vendor contracts) and approval workflows.
- Curiosity problem-solving: proactive coachable and comfortable improving processesnot just following them.
- Detail pace: excellent version control tracking and follow-through across multiple stakeholders and deadlines.
- Event operations support: experience coordinating vendors/logistics and managing run-of-show/budgets/comms.
- Research writing: can produce clear well-sourced briefs that leaders actually read.
- Information hygiene: comfortable organizing shared documentation (SharePoint or similar) with consistent conventions.
- Confidentiality: trusted with sensitive commercial and personal information.
- Onsite presence: able to support in-person meetings/events when required.
- Language proficiency: English fluent (required); Japanese business level (nice to have).
Nice to have requirements
- Familiarity with CLM/e-sign tools (e.g. DocuSign/Adobe Sign) and contract repositories.
- Strong SharePoint experience (libraries metadata permissions search-friendly content structure).
- Experience working with Japan-based vendors or bilingual teams.
- Comfort learning new systems fast; interest in improving workflows using AI-enabled tools
