The University of Miamis Division of Development and Alumni Relations has an exciting opportunity for a full-time Sr. Gift Services Representative to work in Coral Gables FL.

The Sr. Gift Services Representative supports the Development team by assisting with the intake documentation and entry of gifts. The position is responsible for processing and posting financial transactions related to fundraising efforts accurately and promptly. This role focuses on recording and processing routine contributions maintaining clear and consistent documentation and ensuring donor records are kept up to date with the utmost accuracy and integrity. The Sr. Gift Services Representative will also collaborate with Gift Management and Development office staff to improve efficiency in gift processing operations and assist with various data-related projects as needed.
CORE JOB FUNCTIONS
- Processes financial transactions related to fundraising activities of all values and types into the applicable software system.
- Posts transactions following University of Miami policies and procedures including IRS regulations Controllers restrictions C.A.S.E. standards and new campaign policies.
- Manages and imports complex gift processing transactions.
- Receives all credit card transactions related to fundraising activities of all values. Contacts appropriate department/schools for rejected credit card transactions.
- Examines and verifies the accuracy of the donors designation of the pledge using backup documentation.
- Updates bio-demographic records during gift posting and regularly schedules updates outside of gift position.
- Inputs payroll deduction gifts with a high level of accuracy and speed.
- Reviews and updates monthly quality control reports to maintain database accuracy and data integrity.
- Adheres to University and unit-level policies and procedures and safeguards University assets.
Role and Responsibilities
- Accurately and promptly collect input and process gifts into the Blackbaud CRM donor database in compliance with University of Miami gift acceptance policies university procedures IRS regulations Controllers restrictions and C.A.S.E. standards.
- Assisting with the intake and initial processing of gifts including checks online donations and other contributions.
- Providing administrative support for data entry documentation and gift-related projects.
- Provide exceptional customer service to donors and colleagues across the division by responding to inquiries regarding contributions receipts and gift documentation.
- Remain flexible and responsive to changing transaction volumes office needs and shifting priorities to ensure gifts are processed in a timely manner.
- Ensure adherence to all relevant policies and donor agreements in managing gift funds with accurate record-keeping for auditing purposes with oversight from the Director.
- Adheres to University and unit-level policies and procedures and safeguards University assets.
- Monitors compliance with gift management policies and procedures.

CORE QUALIFICATIONS
- High School Diploma
- Minimum 3 years of relevant experience required including demonstrated level of customer service
- Proficiency in Blackbaud CRM or Raisers Edge NXT preferred with a minimum of 1 year of demonstrated success in gift processing and data entry in a high-volume fundraising operation.
- Experience with Blackbaud CRM Raisers Edge or similar fundraising databases preferred.
- Familiarity with various types of charitable donations and giving guidelines.
- Strong command of Microsoft Office 365 applications with proficiency in Microsoft Excel.
- High level of accuracy and attention to detail with proactive execution of assigned duties.
- Excellent administrative organizational and project management skills.
- Strong commitment to quality work and customer service.
- Excellent communication skills.
- Ability to work well with individuals at all levels within an organization.
- Ability to work in a fast-paced environment while maintaining accuracy and attention to detail.
