Executive Legal Assistant
About the Role:
As an Executive Legal Assistant you will serve as a trusted administrative partner to attorneys managing sensitive matters with discretion and precision. You will be responsible for preparing and reviewing a wide range of legal documents including corporate documents contracts agreements and estate planning materials.
This position requires strong organizational skills excellent communication and the ability to manage multiple priorities while maintaining strict confidentiality. You will play a key role in ensuring that legal matters move forward efficiently and that attorneys are fully supported in their day-to-day responsibilities.
The role is ideal for a seasoned legal assistant who is confident working independently and handling executive-level responsibilities.
Key Responsibilities:
- Provide confidential administrative support to attorneys
- Draft review and prepare legal documents including corporate documents contracts agreements and estate plans
- Receive sort and distribute incoming mail faxes and deliveries
- Perform typing assignments and transcribe dictation involving legal terminology
- Manage file openings and closings
- Establish maintain and oversee files correspondence databases records certificates and other documentation
- Schedule appointments and manage attorney calendars
- Coordinate meetings conferences and teleconferences
- Communicate with clients referral sources and firm staff to ensure smooth handling of client matters
- Assist attorneys with timekeeping entries and review of proformas as needed
- Perform additional administrative duties as assigned
Qualifications:
- Minimum of 3 years of Legal Assistant experience at an executive level strongly preferred
- Knowledge of standard office procedures and legal office operations
- Strong understanding of legal terminology and procedures
- Ability to draft compose and edit written communications and legal materials
- Excellent verbal and written communication skills
- Strong interpersonal skills and the ability to work effectively with a diverse client base
- Proficiency in Microsoft Outlook Word and Excel
- Experience with NetDocs is a plus
- Highly organized and task-oriented with strong deadline management skills
- Ability to maintain strict confidentiality
