Job Summary

The Department of Nursing at San José State University seeks a detail-oriented and highly organized professional to provide administrative support for the Masters programs including the Family Nurse Practitioner Nurse Educator and Wound Ostomy programs. Working under the direction of the Masters Program Coordinator the Masters Program - Administrative Support supports student admissions recruitment program logistics regulatory reporting and clinical placement coordination.

Key Responsibilities

  • Provide administrative support for the Masters Nursing programs including admissions student records and program communications
  • Respond to prospective student inquiries and assist with recruitment activities and events
  • Coordinate clinical placements and maintain required documentation and contracts
  • Schedule meetings classrooms and program events including onsite weekend sessions
  • Maintain databases and ensure student compliance with program and regulatory requirements
  • Support program evaluation reporting and accreditation documentation
  • Order supplies and assist with budget-related tracking and processing

  • Ability to communicate with constituents in a professional and respectful manner
  • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist
  • Ability to draft compose and appropriately format correspondence and standard reports
  • Ability to handle a high volume of tasks and demands including multiple projects simultaneously
  • Ability to handle multiple work priorities organize and plan work and projects
  • Ability to maintain confidentiality and appropriately handle sensitive communications with employees and external agencies
  • Ability to perform standard business math track financial data and make simple projections
  • Ability to work independently and as part of a team and handle multiple priorities organize and plan work and projects
  • Excellent computer skills including but not limited to Microsoft Office Skills and development of PDF forms
  • Experience handling confidential and sensitive matters
  • Experience to be fully functional in all technical aspects of work assignments
  • Knowledge of money handling procedures
  • Must be able to work on weekends for onsite classes
  • Strong organization skills to keep track of programs and activities within the department
  • Thorough knowledge of office methods procedures and practices; English grammar business writing punctuation and spelling
  • Typhon Group Database administrator training
  • Working knowledge of budget policies and procedures

Required Qualifications

  • Completion of a high school program technical/vocational program or their equivalents
  • Two (2) years of related office work experience or a combination of education and experience which demonstrates the ability to perform the essential functions of the position

Preferred Qualifications

  • Bachelors degree in business management or related field
  • Minimum of three (3) years of full-time experience in administrative support or related field
  • Demonstrated project management skills
  • Demonstrated computer skills and applications
  • Demonstrated experience with oral and written interpersonal skills

Compensation

Classification: Administrative Support Coordinator I
Anticipated Hiring Range: $4047/month - $4469/month (Step 1 Step 6)
CSU Salary Range: $4047/month - $5896/month (Step 1 Step 20)
