Key Responsibilities
Recruitment and Onboarding

Manage end-to-end recruitment processes including drafting job descriptions and advertisements

Coordinate shortlisting interviews and selection of suitable candidates
-
Verify candidates right to work in Zambia and conduct necessary pre-employment checks
-
Prepare employment contracts and job descriptions for all new hires
-
Conduct staff inductions in collaboration with supervisors and the Security Manager
-
Ensure employment contracts are signed and attested at the Labour Office where required
Employee Records and HR Administration
-
Maintain accurate confidential and up-to-date employee files (electronic and manual)
-
Update HR systems such as Salesforce upon recruitment resignation or termination
-
Ensure proper documentation and filing of warnings disciplinary records and correspondence
-
Manage and circulate the monthly Contract Renewal List to relevant stakeholders
-
Prepare HR reports and summaries for management review
Benefits and Statutory Administration
-
Register employees with NHIMA NAPSA and the Workers Compensation Fund
-
Administer pension schemes and employee benefits in line with company policy
-
Ensure statutory contributions and records are accurate and up to date
-
Liaise with statutory bodies and service providers as required
Employee Relations and Labour Law Compliance
-
Advise management and employees on the Employment Code Act No. 3 of 2019 and applicable Statutory Instruments
-
Manage disciplinary and grievance cases in line with company policies and labour law
-
Represent management at the Labour Office and Labour Court when required
-
Resolve employee issues fairly consistently and in compliance with statutory requirements
-
Assist with salary negotiations contract amendments and redundancy processes where applicable
Performance and Attendance Management
-
Monitor employee attendance timekeeping and performance across sites
-
Support line managers with performance improvement plans and disciplinary procedures
-
Provide guidance to supervisors on managing poor performance and misconduct
Health Safety and Employee Welfare
-
Promote employee welfare and well-being across all operational sites
-
Ensure compliance with workplace health and safety standards and company policies
-
Work closely with management to maintain a safe and compliant working environment
Training and Development
-
Coordinate internal and external training programmes
-
Identify training needs in collaboration with department heads
-
Maintain training records and support skills development initiatives
General HR Operations
-
Perform all HR-related duties on a daily basis
-
Ensure strict confidentiality of all HR information
-
Carry out additional HR tasks as assigned by management from time to time
Minimum Requirements
Qualifications
Experience
-
Minimum of 3 5 years HR experience in a large workforce environment
-
Proven experience managing a workforce of 500 employees
-
Strong practical knowledge of Zambian labour legislation and statutory compliance
-
Experience dealing directly with Labour Offices and statutory bodies
Key Skills and Competencies

Strong knowledge of Zambian labour law and HR best practices
-
Excellent organisational and administrative skills
-
High level of integrity and ability to handle confidential information

Strong interpersonal communication and negotiation skills
