Position Overview:
KIPP NYCs Director of Executive Office Operations & Executive Assistant to the CEO (DEO & EA) is a critical member of the Executive Office who provides high-level strategic operational and administrative support to the Chief Executive Officer Chief of Staff and by extension the broader Senior Leadership Team. Far more than a traditional executive assistant this leader serves as a gateway - not a gatekeeper to ensure that the time external relationships and priorities are aligned to what most advances the mission.
The DEO & EA is deeply attuned to the organizations strategic priorities and uses sound judgment to anticipate needs manage complex scheduling demands streamline communication and enable efficient high-quality executive operations. This individual serves as a trusted partner who brings discretion clarity and strategic insight to every interaction; manages the flow of information throughout the Executive Office; and reinforces a culture of responsiveness alignment and professionalism.

Reporting Structure & Location
The DEO & EA reports to the Chief of Staff of KIPP NYC. The DEO & EA will be a part of the Executive Office a high-performing team of strategic operators responsible for driving organization-wide strategy alignment and special projects which enable the CEO and Senior Leadership Team to operate at scale and ensure that priorities are executed with clarity and purpose. The DEO & EA will directly supervise an Office Manager; together they will ensure that KIPP NYCs central office reflects the excellence and high standards of our schools.
Duties and Responsibilities:
General responsibilities include (but are not limited to):
Strategic Executive & Administrative Leadership
- Steward the CEOs and Executive Offices time through strategic calendar management informed by organizational priorities decision-making rhythms and stakeholder dynamics ensuring focus on the highest-impact work.
- Serve as a strategic gateway for scheduling and access proactively anticipating conflicts decision points and follow-up needs while assessing urgency relevance and sequencing as priorities shift.
- Triage executive communications with discernment ensuring critical issues are surfaced quickly and appropriately while maintaining responsiveness and professionalism.
- Partner with Executive Office teammates to plan and execute leadership meetings retreats board and committee convenings and special initiatives providing strong coordination judgment and cross-functional communication.
- Coordinate logistics agendas materials and timelines for cross-functional meetings and executive priorities.
Executive Support
- Prepare the CEO for meetings by assembling materials drafting agendas synthesizing pre-reads and highlighting risks dependencies or decision points.
- Support the drafting editing and preparation of executive-facing and organization-wide communications including presentations written updates and correspondence from the Executive Office.
- Attend select meetings to capture key decisions action items and cross-functional implications and support follow-through by tracking next steps and deadlines.
- Maintain clear well-organized systems for executive documents presentations and information flow to ensure easy access and continuity.
- Manage complex domestic travel with attention to efficiency cost and executive preferences.
Office Operations Leadership
- Own and manage the day-to-day operations of the central office through the direct supervision and coaching of a full-time Office Manager providing clear priorities guidance and structure to strengthen operational consistency and effectiveness across all office functions.
- Oversee office operations and continuous improvement to ensure systems processes and physical spaces support efficient and well-functioning office workflows.
- Advance a shared culture of operational excellence partnering with staff to reinforce habits that promote collective responsibility for the workplace.
- Manage the central offices operational budget.
Relationship Management & Organizational Alignment
- Serve as a trusted professional representative of the Executive Office in interactions with internal teams external partners and community stakeholders.
- Build strong working relationships across departments to enable efficient communication alignment and problem-solving.
- Model and reinforce executive norms around clarity responsiveness discretion and follow-through.
- Handle sensitive information and high-stakes interactions with sound judgment confidentiality and emotional intelligence.

- A minimum of 10 years of professional experience including at least 5 years partnering with executive or senior management
- An outstanding track record of supporting senior leaders in dynamic environments while managing competing priorities with precision and discretion
- Demonstrated success advancing multiple initiatives simultaneously with focus and rigor
- Formal or informal experience managing administrative or operations staff
Candidates must also have the following skills:
- Exceptional written oral interpersonal and presentation skills and the ability to effectively interface with constituencies at all levels and contribute to a collegial working environment
- Demonstrated ability to produce high-quality written materials analyses and presentations that synthesize complex information and support executive decision-making
- Strong analytical and problem-solving skills

Compensation and Benefits:
For the DEO & EA position KIPP NYC offers a salary ranging from $110000 - $130000. Salary ranges at KIPP NYC are standardized based on role level and role function. Individual salaries are determined through a lens of equity accounting for years of experience relevant to the role and scope of responsibilities and are benchmarked against others within the same salary band.
