ORGANISATIONAL CONTEXT:

The position is based in Colombo operating under the direct supervision of Partnerships Reporting and Communications Officer with the overall supervision of the Country Director and in close coordination with programme RAM communications and other relevant units. Within this structure the job holder supports established workflows and contributes to the smooth functioning of reporting and partnership activities by managing information coordinating with internal counterparts and ensuring adherence to defined procedures. Working within clearly set guidelines the incumbent focuses on gathering and organizing programme and partnership information acting as a liaison for routine queries and supporting collaboration across different functional areas to maintain consistent information flows.

JOB PURPOSE:

To support WFP Sri Lankas programme effectiveness by delivering timely and reliable reporting information management and partnership support. The role exists to ensure that programme performance data is compiled and presented accurately partner commitments and visibility requirements are monitored and routine operational updates and communication materials are prepared efficiently. Through this work the Programme Assistant Reporting & Partnerships (SC5) helps strengthen partner engagement and facilitates informed decisionmaking across the Country Office.

KEY RESPONSIBILITIES (not all-inclusive nor exhaustive):

  • Support the application of standard information management and reporting procedures ensuring consistency and quality in data collection consolidation and presentation across the Country Office.
  • Gather and compile relevant information from internal and external sources to facilitate timely information flow and strengthen situational awareness for reporting purposes.
  • Support the preparation of routine operational updates and basic humanitarian or contextual analyses by organizing inputs from relevant units and ensuring completeness and accuracy.
  • Assist in collecting organizing and sharing key operational information related to programme performance resources and operational context to support informed decisionmaking at the Country Office level.
  • Support the preparation of inputs for corporate reporting exercises including the Annual Country Report by coordinating data and narrative contributions from programme M&E logistics and resource management teams.
  • Assist in efforts to streamline and improve reporting and information management processes including supporting the drafting or updating of simplified guidance or templates as requested.
  • Support partner outreach and engagement processes by helping compile background information partner profiles and simple analytical inputs that inform Country Office partnerships activities.
  • Support the preparation of donor proposals partner briefs and reporting inputs by coordinating required contributions from relevant internal teams and ensuring alignment with partner requirements and visibility commitments.
  • Assist in maintaining accurate programme and reporting databases trackers and records by ensuring timely data entry and verification in accordance with corporate standards.
  • Facilitate regular information exchange with internal counterparts (programme RAM M&E logistics etc.) to support coordinated reporting programme followup and partnerships activities.
  • Support the drafting of basic information products including data summaries tables charts and simple narrative sections contributing to programme reporting and partner visibility.

KNOWLEDGE AND SKILLS REQUIREMENT FOR THE POSITION:

  • Basic understanding of programme implementation and monitoring processes.
  • Ability to gather organize and present information clearly for reporting and communication purposes.
  • Familiarity with partnership engagement principles including partner visibility and the importance of accurate timely information sharing.
  • Strong organizational skills and attention to detail.
  • Good command of Microsoft Office applications (Word Excel PowerPoint); experience with data entry or reporting tools is an advantage.
  • Good interpersonal and communication skills with the ability to interact effectively with internal and external stakeholders.

EXPERIENCE REQUIREMENT

Minimum Five (5) years of relevant experience and

  • Experience supporting programme or reporting activities including data collection basic data review and preparation of simple reports or summaries.
  • Exposure to information management or performance reporting tasks such as compiling information from different units preparing routine updates or assisting with the organization of reporting inputs.
  • Experience in supporting partnerships or donor engagement processes such as assisting with meeting preparation gathering background information or maintaining documentation and correspondence.
  • Experience coordinating with internal teams (programme monitoring logistics communications etc.) and exchanging information to facilitate smooth implementation of activities.
  • Exposure to data organization tools and basic analysis including maintaining spreadsheets trackers or databases related to programmes reporting or partnerships.
  • Prior experience in the UN system NGOs development organizations or government entities involved in reporting communications or coordination is an asset (not mandatory).

STANDARD MINIMUM ACADEMIC QUALIFICATIONS:

Education:

Completion of secondary school education is required.

A post-secondary certificate in a relevant functional area such as Communications Information Management Social Sciences Development Studies International Relations or related fields is highly desirable.

Language:

Fluency in oral and written English.

Fluency in Sinhala and/or Tamil is desirable for coordination with national counterparts.
