About the Position:
The Executive Assistant to the Director provides high-level confidential administrative and executive support in a fast-paced politically sensitive environment. This role serves as a key liaison between the Director City leadership departments and external agencies ensuring the smooth coordination of meetings communications records and special projects.

The ideal candidate is proactive discreet and exceptionally organized with the ability to manage competing priorities exercise sound judgment and handle sensitive information with professionalism. This position is essential to supporting City Clerk functions including legislative processes public records boards and commissions and Citywide initiatives.

The ideal candidate is a highly organized trusted professional who thrives in a fast-paced executive-level environment. You are proactive detail-oriented and comfortable exercising independent judgment while handling sensitive and confidential information.

You bring a strong background in executive administrative support and enjoy being the go-to person who keeps leadership organized informed and prepared. You communicate clearly and professionally can juggle multiple priorities with ease and remain calm under pressure. Experience supporting elected officials boards or commissions or working in a public agency or politically sensitive environment is highly desirable.

Above all you are adaptable discreet service-oriented and take pride in supporting meaningful public service work.

Day in the Life:
No two days are exactly the same in this role. On any given day you may:
  • Manage the Directors calendar coordinate meetings and prepare materials for executive briefings and City Council-related items

  • Serve as a key point of contact between the Office of the City Clerk City leadership departments elected officials and external partners

  • Draft review and proofread correspondence reports agendas and other highly confidential documents

  • Assist with boards and commissions support including meeting logistics agenda preparation and minutes

  • Track assignments follow up on action items and ensure deadlines are met

  • Maintain confidential records personnel documents and departmental files

  • Support special projects events and Citywide initiatives as assigned

What You Need to Qualify

Education Training and Experience:
A typical way of obtaining the knowledge skills and abilities outlined above is graduation from high school or G.E.D. equivalent; and six years of increasingly responsible office administrative or secretarial experience at least two of which were at an executive assistant level; or an equivalent combination of training and experience.

  • Desirable Qualifications: Experience working in a City Clerks Office records management or within the public sector is highly desirable. An Associates degree from an accredited college or university is also highly preferred.

Accreditation shall be by a national or regional accreditation body that is recognized by the Secretary of the United States Department of Education.

Licenses; Certificates; Special Requirements:
A valid California drivers license and the ability to maintain insurability under the Citys vehicle insurance policy.


Knowledge of:

  • Office administrative and management practices and procedures including principles and practices of file and document management.

  • Principles and practices of sound business communication; correct English usage including spelling grammar and punctuation.

  • City organization ordinances rules policies procedures and operating practices related to areas of responsibility.

  • Terminology work processes policies procedures and local state and federal requirements applicable to assigned departmental responsibilities.

  • Basic functions of public agencies including the role of an elected Council and appointed committees and boards.

  • Advanced uses of word processing graphics spreadsheet database and other software to create documents and materials requiring the interpretation and manipulation of data.

  • Basic principles and practices of public administration including budgeting purchasing and maintenance of public records.

Ability to:
  • Manage multiple and rapidly changing priorities to meet the needs and expectations of the department director in interactions with division heads and other managers and staff the City Manager Mayor and City Council other department directors and departmental customers and stakeholder groups.

  • Organize set priorities take initiative and exercise sound independent judgment within areas of responsibility.

  • Interpret apply explain and reach sound independent decisions in accordance with regulations policies and procedures and department director preferences.

  • Organize research and maintain complete and extensive office files.

  • Operate a computer word processing and spreadsheet software and other standard office equipment.

  • Type accurately at a speed necessary to meet the requirements of the position.

  • Compose correspondence prepare documents and make arrangements from brief instructions.

  • Communicate clearly and effectively both orally and in writing.

  • Understand and follow written and oral instructions.

  • Prepare clear accurate and concise records and reports.

  • Maintain strict confidentiality of privileged information.

  • Use a high degree of tact diplomacy and discretion in dealing with sensitive and confidential situations and concerned internal and external parties.

  • Establish and maintain highly effective working relationships with the City Manager Mayor City Council members other elected and appointed officials committee members other department directors managers staff residents representatives of civic and community groups the media the public and others encountered in the course of work.
