Essential Duties and Responsibilities
The responsibilities of this Sr. Administrative Assistant include:
- Provide administrative support to the City Attorney Deputy City Attorney and the Office including: scheduling and maintaining calendars drafting and editing documents preparing correspondence and presentations maintaining an organized filing system and serving as a liaison with other departments
- Learn support and provide back up to the Office Manager
- Learn support and provide back up to Legal Secretaries
- Responsible for communications (receiving requests and coordinating responses) for the City Attorney inbox and with the City Manager and Council Office
- Lead the production of the City Council Agenda Packet materials for the Office which includes preparing initial drafts of legislations tracking the status of agenda items and communicating with Council Office and City Clerks Office staff as needed
- Point person for contracts and amendments including creating and tracking expenditures of these contracts
- Develop and maintain the City Attorneys Office SharePoint Intranet and Internet site
- Assist create and manage reports such for KPI(key performance indicators) accountability measures use data of programs/tools as needed
- Assist with the City Attorneys Office leadership team in budget proposal writing coordination and tracking
- Perform other duties and work on special projects as assigned

- Receives moderate supervision. Supervisor generally indicates what is to be done and provides instruction only for new difficult or unusual assignments.
- No formal supervisory responsibilities however may provide orientation and task instruction to new office and clerical staff.

- Strong time management skills.
- Ability to multi-task prioritize work balance competing demands with frequent interruptions and meet established deadlines.
- Proficient with Microsoft Word; Outlook; PowerPoint Excel SharePoint. Experience with case management system Prolaw preferred.
- Strong interpersonal skills including ability to maintain confidentiality and to work with people in a sensitive and courteous manner.
- Ability to work as a team player as well as independently with minimal supervision.
Education and Experience:
- Four-year college degree with major coursework in a discipline related to the duties of the position.
- Four years of progressively responsible related office support or legal secretarial work is preferred.
- Or any equivalent combination of education experience and training that provides the required knowledge skills and abilities.

Once hired employees must reside in the State of Washington and within reasonable commuting distance to Bellevue City Hall.
