About the role:

We are seeking a dynamic and strategic Communications and Project Manager who thrives in an autonomous environment and excels in driving initiatives from concept through to execution.As a pivotal member of our leadership team this rolewill steer the development and implementation of innovative communication strategies and ensure the seamless delivery of projects. The ideal candidate is a self-starter with the ability to navigate complex challenges independently while fostering a collaborative and communicative culture across the organisation.

What you will be doing:

Strategic Office Management:

  • Lead and manage all invoicing processes with precisionidentifyingopportunities for financial enhancement and operational efficiency.
  • Strategically compileanalyze and deliver comprehensive Management Information (MI) packs to drive data-informed decision-making at the executive level.
  • Oversee and champion the onboarding and training processes fornew staffto ensure a seamless integration into our organizations culture and operations.
  • Craft and implement innovative office policies and procedures designed to boost productivity and operational effectiveness.

Autonomous Project Management:

  • Independently spearhead the planning execution and oversight of internal and external projects ensuring strict adherence to timelines budgets and quality benchmarks.
  • Maintain comprehensive project trackers and financial documentation for heightened transparency and accountability.
  • Propel the development of proactive project strategies and innovative process improvements that align with broader organizationalobjectives.
  • Serve as a critical liaison among cross-functional teamsfacilitatingsmooth and fluid communication and collaboration.

Advanced Administrative Duties:

  • Maintain compliance with corporate policies by effectively managing OMG Compliance and essential employee records.
  • Coordinate the creation and dissemination of high-impact internal communications and newsletters.
  • Facilitate and organize strategic meetings preparing focused agendas recording actionable minutes and ensuring follow-up on key decisions.

Expert Communication & Reporting:

  • Develop and implement comprehensive communication strategies to ensure clarity and efficiency across departments.
  • Prepare and present detailed reports and data-driven presentations for executive management reviews supporting strategic alignment and initiatives.
  • Manage internal communication platforms andmaintainoptimized email distribution lists to enhance information flow.

Content Asset Management & Maintenance:

  • Ensureaccuratecatalogingof content assets withappropriate documentation.
  • Collaborate with agencies and internal resources to meet completeness and compliance standards for final files.
  • With Content Compliance & Governance ensure asset accuracy for Digital Asset Management (DAM) systems through best practices in licensing metadata and documentation.
  • Establish standard reporting processes fortimelyproject execution and asset lifecycle management.
  • Guide or support audits and asset-related work including system access and archival processes.
  • Develop Standard Operating Procedures and coordinate training initiatives to foster best practices.

Content Review & Approval System:

  • Provide functional support to set up projects and resolve issues in collaboration with division functions and Marketing Technology.
  • Develop and update training materials policies and supporting documents to ensure operational effectiveness.
  • Serve as the primary contact for division-specific internal audits.

Content Compliance Standards & Guidelines:

  • Assist the Content Compliance & Governance team in setting asset standards and supporting corporate licensing andpurchasingprocesses.
  • Support training and consultation related to content creation policies and standardsleveragingnecessary Subject Matter Experts (SMEs) asrequired.
  • Train internal personnel external agencies and consult as needed to ensure compliance and standard adherence.

What you need to be great in this role:

  • Demonstrated experience creating and/or managing content within associated systems and processes that allow for operational effectiveness and efficiencies.
  • Excellent Project Management skills with a strong competency in creating improving and driving processes training and organizational influence.
  • Creative technical probing and analytical aptitude.
  • Outstanding attention to detail coupled with solid follow-through and documentation.
  • Collaborative flexible and adaptable within a fast-paced highly matrixed highly regulated and geographically diverse business environment.
  • Strong verbal and written communication skills with ability to drive organizational alignment.
  • Innate curiosity to discover and solve process deficiencies and efficiencies; and challenge the status quo.
  • Desire tooperate(and thrive) within an innovative and creative environment.
  • Agile team player who will support change with enthusiasm thoughtfulness and a commitment to personal and team development.
  • Self-starter self-motivated deadline-focused and agile mindset with strong skills in multi-tasking.
  • Bachelors degree in Business Administration Communications or related field.
  • Minimum of 3 years in senior office or project management roles with a focus on independent success.
  • Advancedproficiencyin Microsoft Office Suite especially Excel and PowerPoint.
  • Superior organizational skills with strategic multitasking and time management focus.
  • Strong written and verbal communication skills.
  • Familiarity with Dual Track Agile Lean UX or Design Thinking
  • Passion for and inquisitive about AI andnew technologies
  • Understanding and knowledge of AI tools is beneficial but ability to learn and digest benefits and features of AI tools is critical
