Job Summary

Summary

Program Support Assistant (OA) performs a wide variety of tasks associated with maintaining and supporting the work performed within the ACOS/Research and Development Service administrative office.


Duties

Major duties and responsibilities include:

  • Coordinates equipment inventory and participates in the equipment inventory together with Personal Property Management (PPM) staff.
  • Prepares equipment turn-ins for disposition according to VACHS regulations.
  • Prepares work orders in VISTA of necessary tasks and/or repairs.
  • Serves as the organizations liaison to the purchasing procurement office to arrange for the monitor and secure equipment services and products.
  • Serves as a Purchase Cardholder.
  • Responsible for daily posting attendance of employees under the supervision of the Administrative Officer as well as the attendance of other Services Timekeepers and providing all relevant timekeeping duties.
  • Responsible for the management of the electronic and paper-based records per RCS-10 for all services records including but not limited to all inactive research studies records.
  • Responsible for providing guidance and training to employees on the management of records.
  • Serves as a backup for an Employee Identifications/PIV Sponsor Representative.
  • Serves as a Service Education Liaison (SEL).
  • Serves as a TMS Administrator.
  • Serves as an Automated Data Processing Applicants Coordinator (ADPAC) for the service and is responsible to ensure continuous performance improvement of informatics processes.
  • Keeps inventory of all personnel computers (PC) and laptops.
  • Receives incoming telephone calls visitors and distributes incoming mail into the in-boxes as shared responsibility with the secretary.
  • Makes travel arrangements for staff as needed in the absence of the secretary.
  • Assists with clerical duties as per services needs.
  • Types a variety of letters memorandums forms reports correspondence and other material by copying from rough drafts or by extracting prescribed data from feeder reports office files and records or other specified sources.
  • Other duties as assigned.
Work Schedule: 8:00am-4:30pm

    Qualifications

    To qualify for this position applicants must meet all requirements by the closing date of this announcement 02/06/2026.

    Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year it may not clearly demonstrate you possess one-year time-in-grade as required by the this instance you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

    Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

    Quality Ranking Factors (QRFs) are knowledge skills and abilities/competencies that could be expected to significantly enhance performance in a position but are not essential for satisfactory performance. Applicants who possess such KSAs/competencies may be ranked above those who do not but no one may be rated ineligible solely for failure to possess such KSAs/competencies.

    Quality Ranking Factor (QRF) for this position is Proficiency in English and Spanish language written and spoken.

    Proficiency Requirements: Typing 40 words per minute.

    You may qualify based on your experience as described below:

    • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include but are not limited to: experience providing clerical/administrative support to include file management preparation of reports onboarding and time & attendance tracking; experience with Microsoft office data entry programs and proficiency in record management and customer service skills; knowledge of written and electronic correspondence report and presentation preparation records management data entry and data base management general office equipment use and maintenance process improvement; knowledge of medical professional and scientific terminology.

    Requirements: The work is primarily sedentary in nature although work requires standing walking stopping reaching occasionally lifting and carrying light packages boxes and movement of equipment when conducting equipment inventory preparing equipment turn-ins and during the record control and management process.
