Instructional Associate - Liberal Education Advancement and Development

Job Description Summary:

The Instructional Associate (IA) for the Liberal Education Advancement and Development (LEAD) initiative will provide support to all instructional programs under LEAD assisting in a variety of administrative promotional and program development/assessment tasks. This role will help manage ongoing projects and expand the programs offerings with a focus on event planning administrative support and faculty collaboration.

This position is an opportunity to be deeply involved in the operational success of the various programs under LEAD supporting instructional leadership to focus on high-level initiatives such as program assessment professional development for instructors and the enhancement of annual events.

*Report directly to the Associate Dean of Liberal Education Advancement and Development with a dotted line to the Associate Vice Chancellor for Academic Programs
*Selected via a small committee led by the Associate Dean of LEAD (must have positive annual evaluations for at least three prior AYs)
*Renewable for up to two additional years (three total years) depending on need and annual evaluation results

Note: Upon completion of up to three years total this position will shift back to the Associate Vice Chancellor of Academic Programs reporting line for reevaluation and potential deployment for other identified needs at that time.

Job Description:

Principal Responsibilities and Duties

  • Assist in executing strategies for the cohesion of programs and to increase visibility on campuses.

  • Under the direction of project leadership collaborate with instructional and cross-campus departments to support alignment and scale of the programs initiatives.

  • Help improve the quality and scale of program events through thoughtful planning and resource coordination.

  • Assist in creating implementing and analyzing student and faculty surveys.

  • Help program leaders assess program strengths and opportunities based upon qualitative and quantitative measures.

  • Assist in the development and production of reporting on a consistent and annual basis; for example the annual report produced by the program and/or grant reports.

  • Maintain program resources like a repository of learning toolkits pedagogical resources and redesigned curriculum materials.

  • Produce coordinate and disseminate promotional information about LEAD initiatives and programs in collaboration with key college offices like the Office of College Relations and Marketing (OCRM) and the Teaching and Learning Excellence Division (TLED) to produce videos showcasing the work done in individual programs for example. Videos could also highlight the interdisciplinary nature of the Liberal Arts and serve as educational tools for students in the various programs.

  • Maintain attendance logs for adjunct faculty meetings and track relevant correspondence.

  • Organize collate and maintain program materials and documents like spreadsheets handouts and databases.

  • Manage event planning logistics including LEAD events the ACC in Bloom Symposium retreats and administrative meetings.

  • Assist in the coordination scheduling and calendaring of Communities of Practice (CoP) meetings.

  • Manage and direct program inquiries to the appropriate entities both on campus and off ie grants offices external to the college.

  • Respond and route communication.

  • In collaboration with AVCs Executive Administrative Assistant coordinate manage and process grant-related transactions.

  • Supporting communication engagement research and problem-solving with ACCs grants office.

Knowledge

  • Experience in event planning and project management.

  • Faculty who have taught LAG or GQ courses and have familiarity with the programs is a plus.

Skills

  • Strong organizational and administrative skills.

  • Ability to collaborate with multiple stakeholders including faculty and tech teams.

  • Ability to communicate effectively with students with a wide range of skills and backgrounds.

  • Strength in communication media both verbal and written as well as listening.

  • Strong organizational skills attention to detail ability to maintain an established schedule including evenings and weekends including possible multiple campus locations that may vary by semester.
